    Whether you're a landlord with one property, or a landlord with a large portfolio, we want to give you the very best when it comes to letting and managing your property/s and we'll do so with the utmost professionalism and integrity. Your needs are paramount, which means that our business is tailored to suit a broad range of needs. In choosing your agent, don't automatically opt for the agent that offers the lowest fee. This may prove a false economy.

    1. What Should I do to get my property ready?

    Presentation
    Finish off any DIY jobs, a fresh lick of paint, professionally clean the carpets, tidy up the garden. Look at your property through a prospective tenants' eyes, after all it will be their home for a period of time. You want to show your property in the best possible light to attract the best quality tenants who will look after your property.

    Furnished or Unfurnished?
    Do you want to let your property furnished or unfurnished? If you are able to offer both options, it will mean that your agent can market it to a wider audience.

    It is essential that your property is not only habitable but also safe for your tenants and there are certain requirements that you must comply with:

    EPC
    It is a legal requirement that you have an Energy Performance Certificate. You will not be able to market your property without one, so arrange this straight away. They are valid for 10 years.

    Gas Safety Certificate
    You will need to carry out annual gas safety checks on the property by a registered Gas Safe engineer

    Electrical Testing
    Arrange to have all portable appliances tested (PAT Test) annually also

    Smoke Alarm
    All properties built after 1991 must be fitted with mains powered alarms, if your property is older than this do still get smoke alarms fitted as a must.

    Furniture and Furnishings
    It is illegal to provide furnishings that do not comply with the 1988 Furniture and Furnishings Fire & Safety regulations, so do check.

    Inventory
    It is advisable to prepare a professional inventory before your tenants move in. This will help avoid any issues that may arise at the end of the tenancy. Alexanders can recommend a professional inventory company.

    2. Your Tenants
    Try to keep an open mind about your potential tenants and don't set unrealistic expectations as this may reduce your target market. Are pets something you have considered allowing? Potential tenants may try and negotiate on the price. Depending on the offer, it may be worth weighing up if the price you want is worth holding out for, or is it better to accept it and reduce the time the property is empty. Alexanders will always give you help and advice.

    3.What level of service are you after? You Decide!

    Consider how much involvement you want to have with your tenant and property. Day to day maintenance, monthly rent collection and other responsibilities may affect your current lifestyle in a way you do not want. Whether you are a hands on landlord or one that wants the hassle of lettings taken away then we can tailor a service package that's best for you.

    4. Fully Managed

    Many tenants prefer a property that is managed by the agent as It gives them peace of mind. Our fully managed service is the simplest way for you to start generating revenue from your property.

    We take care of the whole process for you, from erecting a board outside your property, finding you a tenant and carrying out rental assessments to handling all aspects of the day to day management of your rental property providing you with a full management service to include a full inventory and condition report, deposit management, rent collection, quarterly property inspections, tenancy renewals, arranging any maintenance quotes and repairs and of course being the first point of call for the tenant.

    This is what the majority of our landlords choose to do with their properties as it allows you to step back completely and take it easy knowing you are in safe hands, let us take the stress.

    5. Let Only

    This service is better suited to the Landlord who likes a hands on approach. We will still market your property in the same way through Rightmove, Zoopla and Prime Location as well as our own website. We will accompany all viewings and then when a suitable tenant is found we will verify their credentials by carrying out all relevant checks and handle all the paperwork before they are able to move in. You will then take the lead on the day to day management.

    6. What's it going to cost me?

    Fully Managed - 12.5% of rental income + VAT (for the term monthly)

    Instruction Fee - 50% of a month's rent + VAT

    Let Only - 50% of a month's rent + VAT

    If you're the type of person who is a bit more "hands on" than the average person, then perhaps our Let Only service is better suited to your needs. Our "Let Only" service includes listing the property the same way on Rightmove, Zoopla on our website, conducting viewings, verifying the tenant's credentials by carrying out all the relevant checks, collecting the 1stmonths' rent and bond and guiding the tenant through signing the tenancy agreement. Once they've signed the lease we hand your new tenants over to you and you go from there.

    Inventory Fee - £TBC (Depending on size of the property)

    Renewal Fee - £65 + VAT

    TDS Bond registration - £10 + VAT

Renting - The Step By Step Guide

    What do I need to do to rent a property?
    As a tenant of ours you'll be able to rely on us for any specific needs you may have whilst you're with us. We're going to walk you through the process of renting out a property with Alexanders to give you a quick overview of how the process works.

    1. Register Your Details
    Sign up with us and tell us what you're looking for.

    2. Find a Property
    There are a few things you need to consider before committing to a property such as location, bills and cost of the rent.

    3. Found the One?
    If you would like to apply for a property you can discuss your rental offer with one our agents. It is at this time that you will make an application by starting the referencing process. This application can only begin once the tenant referencing fee has been paid.

    4. Administration Fee

    The tenant is liable to pay an administration fee of £240 (inc VAT) payable by the 1st tenant and £50 (inc VAT) for each additional tenant. This cost covers the viewing of properties, consideration of the application, completing the referencing process and preparing documentation relating to the tenancy.

    The administration fee is non-returnable in the event you may not meet the referencing requirements or if the tenant withdraws the application before completion. If due to unforeseen circumstances the landlord withdraws the property from the market then the fee would be refunded, less any specific costs we have already incurred. If the property was withdrawn Alexanders cannot accept any liability for any costs or inconvenience suffered by the applicants.

    5. Signing the Tenancy Agreement

    It is important that you read your tenancy agreement and understand all of the clauses in it. All adults will be named on the tenancy agreement and will be severally and jointly liable for the property.

    When your references are complete we will contact you to arrange a time and date for you to sign the tenancy agreement. All tenants named on the agreement must be present to initial and sign the agreement prior to entering the property. Once you and the landlord, or their agent, have signed the tenancy agreement, you are legally committed.

    6. Deposit

    A deposit, usually equivalent to one months rent + £100 (minimum) is held for the duration of the tenancy in case of any dilapidation's attributed to the tenant, at the end of the tenancy. Alexanders are a member of The Dispute Service (TDS) and will hold and protect your deposit. All monies must be paid in clear funds at the time of signing the tenancy agreement.

    If the property is managed by the landlord your deposit will be protected by one of the three deposit schemes licensed by the government; The Tenancy Deposit Service (TDS), The Deposit Protection Service Ltd (DPS) or My Deposits Ltd (TDSL). Prescribed Information relating to the relevant scheme will be provided with your tenancy agreement.

    7. Initial Payment
    The first rental payment and deposit must be paid in cleared funds no later than the signing of the tenancy agreement. Please note we cannot accept credit card payments for the initial rent and bond payment.

    8. Subsequent Rent Payments
    All further Rent payments after the first initial payment must be made by standing order and the appropriate form will be given to you upon completion. Standing order requests to your bank can take up to two weeks to process. Please check with your bank that the standing order has been set up correctly before your rent is due. Please note this isn't a direct debit and only you can cancel this order.

    9. Property Management
    The landlord, their representative, or we will be managing the property on a day to day basis. Where the property is managed by Alexanders we will use a professional inventory company to conduct a full photographic inventory as a log of all the items and condition of the property. We will endeavor to give this document to you on move-in day. You should check the document and return to us with any additions or queries you wish to make within 5 working days.

    10. Utilities
    Where the property is managed by Alexanders we will take meter readings and notify the relevant utility companies of your tenancy commencement. The television licence, telephone and cable TV charges are your responsibility.

    11. Maintenance

    Should you have any maintenance queries you can log a repair on your property file or contact us for advice at any time by calling 02920 60 60 66. We also have a 24 hour emergency number in the case of urgent instances. See details in the tenant move in pack.

    12. Inspections
    Alexanders conduct regular inspections on all managed properties which will be arranged with at least 48 hours notice.

    13. Renewal of Tenancy
    If you wish to renew your tenancy agreement at the end of your tenancy period, and subject to the landlords agreement, we will draw up the appropriate documents at a cost of £90 inc VAT

    14. Early Termination
    If a tenant wishes to vacate the property prior to the end of the fixed term, and the landlord agrees to an early release then the tenant will remain liable to pay rent until the term expires or the property is re-let whichever is earlier. Should the property be re-let during the fixed term the tenant will also be responsible for the costs incurred by the landlord for setting up the new tenancy.

    15. Tenant Swops
    If during the tenancy a tenant wishes to move out, and subject to the landlords agreement, you find a replacement tenant to take your place, once the new tenant has successfully passed the referencing procedure we will draw up the necessary documents. The outgoing tenant and the remaining tenant/s will pay a fee of £240 (inc VAT) and the replacement tenant will pay a fee of £50 (inc VAT)

    16. Notice
    You will be required to serve a minimum of one months written notice should you wish to vacate the property at the end of the fixed term.

    ***Council Tax

    Landlords are responsible for council tax during void periods (time when a property is not tenanted), but may be exempt if the property is empty and unfurnished. There are extensive guidelines on discounts and exemption for our area on the Cardiff Council website.

    Tenants are responsible for council tax during the period of their tenancy. If you are a student you may be exempt from council tax, however there are rules for multiple occupancy properties housing both students and professionals. To find out more please visit www.cardiff.gov.uk

    To search for your property's council tax band please visit the Direct Gov site and enter the postcode of the property in question.
