    What To Expect When Viewing a property

    You will normally be asked to meet a member of our letting team at the property.

     The demand for good rental properties is high at the moment, with some properties being taken within hours of coming to market, so it pays to act quickly.

    When a suitable property has been found, a Tenancy Application Form must be completed and the appropriate fee paid to CPH so that this can be processed without delay.

    This fee is NOT refundable, once the processing of the Application has begun.

     Payment of the application fee does not imply a tenancy; it simply allows us to incur expenditure and process your application with confidence, whilst securing the property for you during the referencing period i.e.: no further applications will be accepted against the said property.

    Documentation Required :

    You will be asked to provide photographic identification in the form of a Passport and Driving Licence.

     Other forms of I.D. are acceptable in the form of a National Identity Card or UK Armed Forces Identity Card.

     No other forms of I.D are acceptable.

    In addition we will require proof of residency for the last six months:

    • Two recent utility bills (no older than 3 months)
    • A recent council tax bill showing the applicants name and current address
    • We will write a letter to your employer, requesting confirmation of your employment details.
    • You may also be required to provide your last three months pay slips and/or three months bank statements.

    Acceptable Criteria

    The Landlord will want to be sure that you are able to afford your rental payments, are in permanent employment and that you have a good credit history (or an acceptable guarantor where necessary).

    IT IS IMPORTANT TO NOTE THAT EACH APPLICANT SHOULD:

    • Be in full time employment, or provide written confirmation of a job offer, in the case of graduates in new employment, they should be able to provide a formal contract of employment. If work is of a temporary nature through a recognised agency proof of 12 months continuous earnings must be provided.
    • Have a good credit history
    • Have good references from the previous landlord/managing agent, if applicable
    • Earn a gross annual salary which equates to at least 2.5 times the annual rental commitment.

     

    AN APPLICANT WILL NEED A GUARANTOR WHEN:

    • He or she is a student
    • The individual rental commitment is more than 50% of the annual gross income.
    • Recently arrived from overseas for new employment. Each case will be treated individually and contracts of employment will be required.
    • An adverse credit history which has been declared

     

    AN APPLICANT WILL BE DECLINED IF HE/SHE:

    • Has any undisclosed adverse credit history (County Court Judgments, Individual Voluntary Arrangements and bankruptcies)
    • Has CCJ's totalling an excessive amount, disclosed or otherwise
    • Has an adverse reference from the Landlord, Managing Agent or Employer

     

    EACH GUARANTOR MUST

     

    • Be a property owner in the UK - if not then we recommend that they should have a monthly gross income of 3 times their monthly rental commitment.
    • Have a clean credit history - subject to appeal
    • Be in employment or in receipt of pensions

     

    Each applicant and guarantor will need to fully complete an application form and the above list is not exhaustive.

    The Landlord will want to be sure that you are able to afford your rental payments, are in permanent employment and that you have a good credit history (or an acceptable guarantor where necessary).

    As stated above an initial fee will be required so that your Tenancy application can be processed. Once this process has been started, the fee paid is NOT recoverable.

    Once your references have been approved you will be required to pay the balance of your Tenancy Commencement Costs and sign contracts the day your tenancy commences, before the Landlord will allow you to move into the property.

    TENANCY COMMENCEMENT COSTS

    • One month's rent in advance
    • A Tenants Deposit (Bond) which is normally a minimum of 1 months rent.
    • An increased amount may be required as a Bond where pets are permitted (1½ months minimum)

     

    PAYMENT METHODS

    Tenants will be expected to set up a standing order either to CPH (if we are managing the property) or directly to the landlord. This is to be paid on or before the 'rent due' date.

    The Tenancy Commencement costs must be paid at least 24 hours prior to signing the Agreement by bank transfer, unless a prior agreed arrangement has been made.

    Cheques are not accepted as a form of payment, and cash payments are at our discretion.

    SIGNING THE CONTRACT :

    Before you are able to move into the property, the contract must be signed by all the applicants (and guarantors where necessary).

    Arrangements will be made for a mutually convenient time to meet at the property whereupon you can read the Agreement, check, ask for clarification on any points prior to signing. Should CPH be the holder of the deposit, a Prescribed Information for Deposit Scheme will also be provided, and once read, and checked, this document will also require signing.

    You will be provided with copies of these documents. Collecting your keys One set of keys to the property will be provided for a single tenancy, with two sets for a joint tenancy.

    Additional keys must not be cut without the landlord (or his agents) permission nor can the locks be changed. Due to the cost and inconvenience of cutting keys and/or buying additional electronic security keys, it will be your responsibility to incur the cost of this and arrange for the supply of the same should you lose the keys.

    DEPOSIT :

    Your tenancy deposit (bond) where held by CPH Lettings Limited will be registered with the Tenancy Deposit Scheme (TDS) and a Certificate of Registration provided within 30 days of receipt.

    Deposits held under this scheme will be protected during the tenancy so they are available to be returned to the tenants if they have met the terms of the tenancy agreement.

    Where there is no dispute at the end of the tenancy, the deposit will be returned promptly. Where there is a dispute about the allocation of the deposit it will be dealt with fairly and quickly by CPH Lettings Limited, failing this apportionment of the deposit will be sent to arbitration under the Deposit Protection Scheme for them to decide the fairest settlement.

     At the expiry of the Tenancy Agreement, the Landlord has the right to deduct monies for the non-performance of the Tenant's obligations and to pay and compensate himself for the tenant's breach of any of those obligations.

    These include such things as cleaning of the property not completed in accordance with the contract, breakages etc. CPH will obtain estimates for such works required, from the landlord, prior to confirming this with you, as tenant (s).

    INSURANCE:

    We strongly recommend that you protect your Deposit and your own Contents.

     It is worth considering the need for insurance when renting a property, particularly as you must have sufficient means to cover any damage to the landlord's fixtures and fittings.

    You should also consider insuring your own contents as such possessions will not be covered by any insurance held by the landlord.

    He comes from a well known Scarborough family who have been assiciated with the sale of properties in the town for over 100 years.

    He worked in York and on the East Coast, before returning to Scarborough in 1980, and has a wealth of knowledge and experience with the local property market.

    David is married to Caroline and has one married son who is currently working in Germany.

    Regular trips are made to Berlin to see their granddaughter.

    As both a Scarborian and a Rotarian, David is a Trustee of a local Charity, and he is also involved with various community organisations and associated charity work.

    David qualified as a Chartered Surveyor in 1972 and became a fellow in 1987.

    After a brief spell with the British Rail Property Board, he worked in the Ryedale area for several years with a well known mixed practice firm, before moving to Scarborough in 1978.

    David later spent 6 years as an Area Sales Director of Nationwide Estate Agents before starting CPH with David Chapman in 1992, and over the years, helping to establish this highly regarded professional firm as a market leader in the town.

    David is married to Janet, a retired teacher, and has 2 boys who work in London.

    He enjoys skiing, playing golf, walking and travelling as well as being involved with a local charity as a Trustee.

    Bev has lived in Scarborough for 42 years and has 34 years experience of the Estate Agency business, 20 of which have been with CPH.

    After the viewing has taken place we will contact you so that we can to see what you thought of the property and to see if you wish to make an offer, or look at any other properties.

    Step 4: Making an offer

    Once you have found a suitable property and feel you are ready to make an offer, just telephone one of our sales staff, or call into our office, to discuss it fully.

    In order to put forward an offer on your behalf, we will need certain information from you including the amount you wish to offer; your buying position, i.e. are you a first time buyer, have you sold subject to contract or are you a cash buyer.

    Whether the offer is subject to survey and/or mortgage (if required) and how soon you might be in a position to exchange contracts.

    Joe Walker BA (Hons) MSc MRICS Commercial Surveyor

    Joe joined the firm in January 2011, after 5 years working for a large national firm of Commercial Chartered Surveyors in Edinburgh.

     He qualified as a Chartered Surveyor in 2009, passing his APC at his first attempt. Whilst in Edinburgh, Joe also gained valuable experience with the sales, lettings and acquisitions of commercial property, as well as other professional work including bank valuations and Rent Reviews.

    Joe was born and bred in Scarborough, and attended Scalby Secondary School, and the 6th Form College, and gained a business degree at the Scarborough Campus of Hull University and a Master's degree in Edinburgh.

     He married his long term Partner, Caroline in the summer of 2012 and in his spare time Joe plays golf at North Cliff, and football for Scalby FC.
