    The Myrings management service starts at the very beginning of your relationship with us and we tailor this to fit in with your specific requirements.

    Typically:

    • We ensure that your property is shown at its best during the marketing and letting process up to and including when your new tenant takes occupation.
    • If works are required - redecoration ,furnishing, cleaning or general maintenance - we will arrange two quotes for you and implement the works on receipt of your approval.
    • We will take care of all the complex legislation attached to renting a residential property. This will include ensuring there is an up-to-date gas certificate and PAT (Portable Appliance Test), a current EPC (Energy Performance Certificate) and that the electrical safety certificate is also up-to-date.
    • An independent inventory clerk will draw up an inventory to be used at check - in and check-out of each tenancy. Any remedial works are carried out as necessary, based on the findings of the report.
    • We will arrange for utilities to be transferred into the new tenant's name and all final landlord accounts are paid up-to-date.

    When Your Tenant Has Moved In

    • Each landlord has a designated Property Manager although any member of team will be able to help at any time.
    • Out of hours, we have a dedicated team of emergency contractors on call, including on weekends and Bank Holidays. They are fully aware what constitutes an emergency and only attend as necessary or on our specific instructions.
    • Regular property inspections are carried out to ensure that your tenant is looking after your property. This also enables us to address any maintenance issues. Our close proximity to your property means we can carry out additional 'one off' visits at short notice as required.
    • Any major maintenance issues will be reported to you and quotes obtained as necessary. Otherwise, general day-to-day works will automatically be taken care of.
    • We will keep you informed of any changes or updates in legislation. These will be implemented as appropriate and in conjunction with you.

    The Termination of the Tenancy
    • A check-out will be arranged with and conducted by the same inventory officer who carried out the check-in. We will assess the check-out report and compile a deposit release schedule for your approval.
    • We will mediate between you the landlord and your tenant in order to agree the deposit release amicably. The deposit will be released on agreement by both parties, as it will invariably be held by us as 'stakeholder'.
    • In the unlikely event that one or both parties does not agree to the deductions, we will present the paperwork to the Dispute Service for arbitration in the case of an AST (Assured Shorthold Tenancy) or seek your instructions in the case of a contractual or company tenancy.
    • We will arrange for any works to be carried out on your instructions, to ensure your property is ready to be re-market.

    Legislation

    Tenants' safety is of utmost importance to us and our landlords, who could be held liable if any accidents happen in their property. There are many areas of legislation within the world of lettings to protect all parties and we are here to offer advice on the following key areas:

    • Annual Gas Safety Certificate - must be carried out and checked by a Gas Safe registered engineer
    • Smoke Detectors and Carbon Monoxide Detectors (Smoke and Carbon Monoxide Alarm (England) Regulations 2015). It is a legal requirement to install one smoke alarm on every floor of a property and a carbon monoxide alarm in all rooms with a solid fuel burning appliance such as wood burning stoves and open fires. We also recommend a carbon monoxide detector is installed wherever there is a gas appliance. It is the landlords responsibility to ensure all alarms are in working order at the start of any new tenancy.
    • Electrical Safety Certificate - An Electrical Safety Certificate is not demanded by law however it is the landlord's responsibility to ensure that all electrical equipment and systems are safe. Certificates are usually valid between 5 and 10 years depending on the age of the installation.
    • Portable Appliance Testing (PAT) - We recommend a Portable Appliances Test (PAT) for any electrical item left in the property with a plug such as toasters and kettles, fridge freezers and washing machines.
    • Legionella Risk Assessment - We must advise that there are now important changes in the legislation concerning the control of Legionella bacteria in water systems which apply to all providers of residential accommodation. These changes to the Approved Code of Practice ( ACOP) mean that all rental properties are required to have a Legionella Risk Assessment.

      In brief-
      The Health and Safety at Work Act and The Control of Substances Hazardous to Health Regulations extend to rented properties and document HSG274 specifically states that Landlords have a legal obligation to carry out an annual risk assessment in respect of legionella bacteria. There are significant penalties and fines for not complying.

      A risk assessment involves assessing whether conditions are right for bacteria to flourish. The greatest risk is where water is present at temperatures between 20C and 45C. Stagnant water, in tanks for example, infrequently used outlets, showers and air conditioning units, debris in water systems, and thermostatic mixing valves should checked and corrective action taken where necessary. Safeguards may involve disinfecting water systems, cleaning shower heads, servicing air conditioning units, removing or stagnant water pools and water tanks from systems, insulating pipework, and keeping water cisterns properly covered and free of debris. The guidance specifies annual risk assessments and insists that landlords and agents keep records of these for at least five years.

      We can arrange the assessment on your behalf should you wish by fully trained and accredited local companies who are currently doing assessments on behalf of our clients. A full certificated report will be produced for your inspection / records.
    • The Furniture and Furnishings (Fire Safety) Regulations 1988
      1. Filling materials must meet specified ignition requirements
      2. Upholstery composites must be cigarette resistant
      3. Covers must be match resistant
      4. A permanent label must be fitted to every item of new furniture (with the exception of mattresses and bed-bases)
    • Energy Performance Certificate - You will also need an Energy Performance Certificate (EPC) for your property before marketing begins.
    • Tenancy Deposit Scheme - Legislation also demands that the majority of tenants' deposits must be held in a government-authorised Tenancy Deposit Protection Scheme, so we will advise on which scheme to use. Since the introduction of this scheme, property inventories are being increasingly used to settle disputes so it is vital to get a good quality, preferably photographic, inventory done before your tenant moves in. We use a well proven inventory system to compile these documents on your behalf.
    • Buildings and Contents Insurance - As well as protecting your tenant, you must protect your property, not just with buildings insurance but contents insurance as well. Specialist landlord insurance is available and we can organise this for you. You may also need written permission from the freeholder or mortgage lender if your property is held on a lease or subject to a mortgage. You must ensure that your insurance provider knows that you are letting the property as it is important to have the correct policy in place.
    • Tax - Landlords are taxed on their rental income, but if you find a good accountant, they can help you minimise your annual tax bill. There are additional rules and regulations concerning non-UK resident landlords. We will work with your accountant so that relevant costs can be offset against your tax bill, including your mortgage, safety inspections, agents' fees, insurance costs and inventory fees. It is vital to keep a note of everything you spend on your rental property. At Myrings we use the most up-to-date computer accounting systems so that our records are held accurately and relayed to you efficiently. These systems ensure that rent monies are collected and paid to you in a timely manner. At Myrings we understand that your funds must be remitted to you immediately.

    Non Payment of Rent

When you do your budget you must take into account the deposit (typically one month's rent) , SDLT (Stamp Duty Lad Tax - if applicable) , and a number of administration charges - as per Tenancy Agreement fees/Reference check fee and Inventory check-out fees. Also remember that you will be responsible for water, gas and electricity charges as well as ensuring you have adequate contents insurance in place.

    The Lettings Process

    • We start by searching our extensive database and arranging viewings of all the available properties that meet your requirements.
    • Once we have found the right property for you we will put forward your offer to the landlord
    • Once accepted we will apply for your references and credit searches and, subject to these being accepted, will draw up a tenancy agreement between you and the landlord (It is important you read this and are happy with it and understand the conditions, as it will be your duty to comply to its conditions and requirements throughout the tenancy).

    N.B - If you have any requests, you should raise them and have them agreed when you make your offer, and not after the tenancy agreement has been produced.

    • An independent inventory and schedule of condition will be drawn up, detailing the contents and condition of the property. This will be used when you check in and out of the property so read it carefully and keep a copy.
    • You will be given an invoice detailing the deposit and initial rent due. Once the tenancy agreement has been agreed and signed by both parties and the monies have cleared, your tenancy will begin.
    • You will be checked-in by an independent inventory clerk and one full set of keys per tenant will be handed over.
    • If we manage your property, you will meet your property manager, whom you can contact if there are any issues or maintenance problems during your tenancy. Please note that rent money will be paid by standing order to us for managed properties.
    • If your property is managed by the landlord, you will be given their contact details and you must contact them directly should any issues arise throughout the tenancy.
    • Your deposit money will be registered with a government scheme and a certificate provided to you for your records.

      Simon Myring - CEO

      Simon has had over twenty years' experience in the local property market, having sold thousands of homes in Harrogate and surrounding villages.

      Simon's early experience was with one of the UK's largest corporate Estate Agents and had the distinction of being one of their youngest ever branch managers.

      He went on to found and run, as a partner, a Harrogate based independent Estate Agents for eleven years before leaving to set up the family business - Myrings Estate Agents Ltd. Myrings are committed to serving our clients in the best way possible, incorporating all the best technology and professional working practices - focusing on what vendors and potential buyers actually need and value.

      Central to this way of working is a desire to get to know our clients and their property really well. Simon is a member of Harrogate Squash club - currently playing for the Yorkshire seniors- and is also a member of Oakdale Golf club.

      Syd, as he is known joined us after sixteen years of experience in the New Builds and Property Development sector.

      Colin Bonham - Senior Associate Director

      Colin first came to us on a work experience placement from Ashville College before joining us on a full time basis in February of 2010. He very quickly developed into a valuable member of the team and proved himself to be an outstanding communicator and sales negotiator, before training as a valuer in 2012. Colin has a sound understanding of the entire property market.

      Originally from California, Colin grew up in Summerbridge, and now lives in Harrogate with his partner Hatty and little boy Orson.       Libby has worked in the property business for six years and brightens clients days and ours with her expert, happy and enthusiastic approach. Originally from London she is now a confirmed 'Yorkshire Lass' and lives locally with her husband, a former professional rugby player, two boys and two chihuahua dogs.       Nichola lives in Burn Bridge with her husband, two children, Georgia and Jake, and her two horses. She ran her own cleaning business in Harrogate for many years and has always had a keen interest in the property business.

      Molly was born into the property business following in the footsteps of mum Gemma and her Uncle Simon.

      Molly is currently studying A levels at Harrogate Grammar School to include Maths, Physics and Economics hoping to study Astrophysics at University next year. Molly brings her love of numbers, statistics and mastery of data into the business as well as her flair for social media property marketing.

      Martin handles most of our weekend viewings and is a time-served property professional, and serial house-mover; having renovated several apartments in Harrogate, together with his wife Yvonne, over the past 20 years.

      He plays guitar in a Harrogate rock and blues band, and can sometimes be seen propping up the bar in the "Rovers Return" or appearing alongside Surranne Jones in "Gentleman Jack". If he ever gets any spare time (!) he enjoys playing golf and is a member at Rudding Park.
