    1. THE TENANT FIND / INTRODUCTION SERVICE
    From the outset prospective tenants are issued with full details of the application procedure in writing. This document contains all of our fees and how to inform us of your interest of the property.

    Prospective tenants are then interviewed and if necessary conduct a home visit to ensure they are the right person/people to rent your property.

    We will inform you of the circumstances of any prospective tenants and ask for your approval before we proceed with referencing.

    An Independent and Specialist Referencing Company is employed to carry out comprehensive checks and if necessary request a guarantor who would also be referenced. Since 1st February 2016 the Right to Rent laws have been implemented which also requires us to ensure the tenant produces the necessary identification documents in person so that we can cross reference the person on the tenancy agreement is also the person living at the property and have the right to be in the United Kingdom.

    We draw up the tenancy contracts, issue a 'Welcome Letter' with useful information including telephone numbers and what to do in an emergency such as a gas leak. This is in addition to vital information relating to the individual property i.e. to the location of stop cock, consumer unit, dustbin days etc.

    A standing order is set up, the tenants are given the relevant deposit scheme information and issued with a copy of the Energy Performance Certificate and Gas Safety Certificate - if applicable. The latest legislation also requires us to issue the tenants with a hard copy of the Right to Rent booklet issued by the Government. (Without proof that all of these relevant documents have been issued in the correct format at the outset of the tenancy it is now impossible to issue a Section 21 notice if required).

    We are also happy to secure the deposit in The Deposit Protection Service (DPS) for you.

    Before moving in, an Independent Inventory Company is instructed to conduct a full report and Schedule of Condition of the property with photographs. (This report can be used on a check out for comparison of condition).

    We notify all utility companies and the local Council of the change in occupancy but do not notify BT or TV Licencing.

    Finally we issue both Landlord and Tenant with duplicate files of all documentation.

    This service has a one off set up fee of £420.00 inc VAT

    2. THE RENT COLLECTION SERVICE
    All as above, plus:

    We collect the rent, pay you promptly by BACS and send you a detailed monthly statement.

    We strictly pursue late rents, any arrears and serve the appropriate notices.

    This service is 9.6% inc VAT of the monthly rent.

    3. THE FULLY MANAGED SERVICE
    All as above, plus:

    The tenants are checked in and our first visit takes place ONE MONTH after they have moved in. This is
    to ensure they have settled, answer any queries they may have and gain a general oversight of the
    condition of the property. This is what we refer to as an informal inspection although we do report
    back to you again unless you say otherwise.
    Depending on the initial visit, our next visit will either be in a further three or six months and a full
    report made, a copy is sent to you.

    We do not encourage periodic tenancies. By keeping a fixed tenancy our Landlords have an element of
    financial security. The tenant is contacted in month four of a six-month agreement or month ten of a
    twelve-month agreement to ascertain if they wish to remain at the property. Depending on your
    instruction we will either renew the tenancy, review the rent or re-let the property.
    Throughout the tenancy we will deal with ALL maintenance and repairs and any other issue that may
    arise. We arrange for quotations and you are always asked for authorisation in writing or email before
    any works are instructed. If you have your own preferred tradespeople we are happy to co-ordinate
    works with them.

    When a tenant gives notice to leave we immediately acknowledged in writing coupled with a long and
    comprehensive check list of how we expect the property to be left if they want to have their deposit
    returned. A check out date is organised whereby we go through the property together, agree any works
    that may need to be done or sign it off ready to return the deposit.

    In the meantime and as soon as we receive notice we arrange for the property to be remarketed and
    aim to have new tenants moving in shortly after the existing ones leave to minimise any void period.

    This service is 10% inc VAT of the monthly rent.
