A Guide To Letting Your Property
We have prepared this guide to highlight the fundamental requirements and responsibilities involved in renting your property through Sterling. This is not intended to be a definitive guide and before any active marketing can begin, we will need to visit you. We will then be able to give specific advice on décor, rental levels and anything else that may need to be done before the property is ready to be let.

In order to give some general guidance, we have listed subjects that are essential to most potential landlords who are considering letting their property out and we have tried to give as much information as possible. Sterling are members of ARLA , NAEA & The Ombudsman Scheme for estate agents and as such are regulated with client money bonding and codes of practice which give both you and your tenant's peace of mind. We are also members of the Government Tenancy Deposit Scheme.

    When To Market My Property
    image cannot be displayed
Demand for good quality rented property is higher than ever. We generally find that most tenants will begin looking for somewhere to rent 4-6 weeks before needing to move in so you should find that the majority of the interest in your property will be around a month before it is available. We normally start marketing a property approximately eight weeks before it will be available for someone to move into.

    Marketing Your Property
    image cannot be displayed
    • (i) Newspaper Advertising - A large percentage of our enquiries from tenants come from our advertisements in the local press. We have found adverts in the main local publications to be one of the most effective ways of reaching a large number of people

    • (ii) To Let boards - Another excellent source of enquiries is our 'To Let' board system. We erect the board as soon as we receive instructions from the landlord to begin marketing and can normally expect to take new enquiries within a day or two.
    • (iii) Offices - We have endeavoured to situate ourselves in modern well located offices. Our town centre locations across Dacorum are ideal for this and we attract a lot of enquiries from people walking straight in.
    • (iv) The Internet - Tenant enquiries are registered on our computerised database so that we can contact them regarding new properties when they become available. We have an active database of prospective tenants (including companies) looking for all types of rented accommodation ranging from studio flats up to larger family houses. We advertise through our own website www.sterlinghomes.co.uk and most of the property portals including www.rightmove.co.uk, www.primelocation.co.uk and www.zoopla.co.uk

Should I Use A Letting Agent?
    image cannot be displayed
Should I use a Letting Agent?
A favourite question is whether a landlord should risk tackling the whole letting process alone or instruct a Letting Agent to take care of the job for them. The main reason for not using an Agent is, of course, the fact that there is a cost involved. However, the potential disadvantages of getting it 'wrong' far outweigh the cost.

Letting a property unaided and without the proper facilities is potentially dangerous, not to mention costly and few landlords will fail to recognise the potential pitfalls. We have all heard the disaster stories of tenants failing to pay rent, damaging the property and upsetting neighbours, but more importantly for you is the legal responsibility in becoming a landlord.

Getting things wrong could result in a large fine or a prison sentence. Our advice to all landlords, whilst perhaps appearing somewhat biased in our own favour, is to secure the services of a local, reputable Letting Agent to deal with the process for you.

The Agent will normally have access to facilities that members of the public won't, especially in the areas of reference checking of the tenant and keeping abreast of legal updates and responsibilities. Sterling's policy of continued training and development of its staff ensures we are at the forefront of the latest legislation and codes of practice. Our lettings staff attend regular refresher training sessions run by the NAEA & ARLA associations helping to keep us up to date with latest legislation and best practice. We are able to provide landlords with access to specialist insurance facilities including Rent Guarantee and Legal Protection

MORTGAGE - You should contact your mortgage lender in order to obtain written permission to let the property, prior to the letting. You have a contractual obligation to inform your lender and gain their consent prior to a tenancy commencing.

INSURANCE - You must inform your insurers of your intention to let your property as your contents & buildings insurance will almost certainly be affected. If you find your present insurer unable to continue your existing cover, we can arrange cover for you. Please see our separate leaflet for full details

REPAIRS / MAINTENANCE - As a landlord, you must be prepared to deal with (or authorise us to deal with) any reasonable repair/maintenance request received from the tenant(s) or any other relevant party during the tenancy relating to your property and within a reasonable time scale. Certain repair/maintenance issues are requirements of law and so must be attended to and include maintaining the property structure (roof, windows, doors, drains, etc.). Full details are available.

LEASEHOLD - If you own your property on a leasehold basis, you must notify your freeholder that you intend to sublet your property. Some freeholders have particular terms or conditions that may relate to the sublet, which we're normally able to accommodate.

GAS & ELECTRICAL SAFETY - Both systems need to be proven by the landlord to be safe for the tenant to use, the gas system & appliances require an annual safety check. Although it is not mandatory we recommend that you have an electrical safety check completed as well.

    TENANCY RENEWALS / EXTENSIONS
    image cannot be displayed
We will contact your tenant approximately two months before the end of a fixed term tenancy to establish their plans to vacate or extend. We will work on the assumption that you want continued tenant occupancy unless you inform us otherwise. We will present the tenants requirements to you.

Of course the final decision on if you wish to extend / renew the tenancy rests with you. If an extension is agreed, we would make all of the necessary arrangements for you, regardless of the service you select, renewing the tenancy agreement with the agreed term stated.

We recommend that any extensions are a fixed term rather than month by month, this way it gives you clear visibility of the tenancy and the period you will have rent being paid, it also states clearly the expiry date should you require possession of your property at any stage.

Tenants Responsibilities
  • paragraph

    GENERAL NOTE -
A tenant takes on the majority of the responsibilities under a residential tenancy agreement as it is he / she taking on the property. Most will be included in our standard tenancy agreement but you may add or subtract certain clauses, subject to the tenant's consent. The tenant's main responsibilities are normally as follows:
  • paragraph

    RENT & UTILITY BILLS
    image cannot be displayed
RENT - Rent from the tenant will solely cover his/her occupancy of your property. When you let a property through us, you pay rent in advance monthly, we process on to you. It is standard practice for you to pay rent via a standing order paying directly from your account to ensure prompt payment. Rent is due monthly, in advance and is payable on the same date each month as the date the tenancy starts.

UTILITY BILLS - It is normal practice for the tenant to pay for all gas, oil, electricity & water used along with any council tax liability. The tenant's liability for these bills' will commence from the first day of the tenancy and will continue for the duration of the stay. Appropriate meter readings will need to be taken on the first day of the tenant's occupancy and once we have notified the utility suppliers, they will write to the tenants in order to set up the relevant accounts in the tenant's name(s).

TELEPHONE & T.V. LICENCE - The tenant will be responsible for obtaining & paying for a TV licence covering the duration of their stay. The tenant will also be responsible for paying any charges in connection with any telephone or TV facilities they choose to have at the property. The Tenancy Agreement is worded accordingly.

CONTENTS INSURANCE - We ask our tenants to hold contents insurance to cover their own possessions. This insurance should also cover the tenant accidentally damaging the landlord's goods.
  • paragraph

    MAINTENANCE
    image cannot be displayed
The tenant will be expected to carry out basic property maintenance during the tenancy such as cleaning windows, keeping drain covers clear of blockages, replacing light bulbs and ensuring the property is left locked and secure when going out.

The tenant will be contractually obliged to report any items of required maintenance or repairs, either directly to the landlord or to the agent, within a predetermined timescale, (usually 48hrs) in order to avoid any deterioration of the property resulting from neglect.
  • paragraph

    GARDENS
    image cannot be displayed
The tenant will normally be obligated under the Tenancy Agreement to carry out basic garden maintenance, to include cutting lawns and keeping the weeds down. In order for the tenant to deal with the garden it is accepted that the landlord provide the tenant with the necessary tools, which would normally include a lawnmower, a rake and a pair of shears.
  • paragraph

    CONTRACTUAL
    image cannot be displayed
The tenant is obligated to abide by the tenancy agreement for the duration of the term, along with any extension thereof. This agreement would be signed by the landlord and tenant and forms a legally binding contract between both parties.
  • paragraph

    Tenants Referencing
    image cannot be displayed
Part of our job as your agent is to find you the most suitable tenant(s) who you can accept or decline according to your requirements. In order to do this, we undertake to assess a prospective tenant's suitability via independent referencing checks.

Our basic requirements of a prospective tenant (prior to the referencing process) are that they should be employed or self-employed, able to pay the rent and associated bills via their own resources and aged 18yrs or over.

The purpose of the reference checks is to confirm that he / she has proven to be reliable in the past and should, therefore, reduce the risk of the tenant proving unsuitable in the future. In order to be as unbiased as possible, we employ an independent referencing agency who in turn are underwritten by an insurance company, to carry out the following checks on our behalf:
  • paragraph

    I NCOME CHECK
A current employer's reference (or accountant's reference if they are self employed) will be sought in order to confirm the tenant's job status, length of service, position within the company and his/her income to confirm that he / she can afford the rent and bills.
  • paragraph

    CREDIT SEARCH -
An up-to-date Credit Search would be conducted on the tenant's stated address(s) which should show information relating to the tenant's credit history including any outstanding debts or judgements registered against them, previous addresses are also checked.
  • paragraph

    PREVIOUS TENANT CHECK
If the tenant has rented before our referencing company would check with the previous landlord/letting agency whether or not the tenant had been suitable in the past.
  • paragraph

    ELECTORAL ROLL
We will seek to confirm that the tenant is currently registered on the local Electoral/Voter's Roll at their current address given. (It may also give an indication of how often the tenant has moved recently, thereby indicating his/her probable consistency). Once these checks have been completed, we report the findings to you so that you can then decide whether or not you wish to proceed with the applicants.

Meet Your ARLA Qualified Lettings Team
  • Team Member

Justin Davis MARLA - HEAD OF PROPERTY MANAGEMENT
In his former life Justin worked in the police force working predominantly out of the airports in the south of England. In 2009 a career change saw Justin join the property management team at Sterling Lettings & Property Management department. With his ARLA exams soon passed Justin soon achieved a number of promotions and now heads up the Property Management Department. Tasked with dealing with ensuring landlords rents are processed correctly and on time and using his calm personality to negotiation between tenants and landlord in the rare instances there are deposit disputes after a tenancy has terminated - not a job for the fainthearted!

    Justin comments:

"Having worked in the police force for a number of years I was use to rigid structures and the need to adhere to policy. In lettings there is no grey areas - it is always black and white with a correct and incorrect way of doing things to ensure you protect your landlords & tenants by following legislation - which, while frustrating is a necessity. Very often I enter into discussions with landlords who have either tried to let a property themselves or used an agent 'because they were the cheapest' only to fail foul of either bad advise of ending up with unsuitable tenants in their biggest asset..their property. The mantra 'you get what you pay for' really does apply in lettings and property management with so many agents trying to be a jack of all trades dabbling in both sales and lettings but having expertise in neither!'

Tara Lennon- ASSISTANT HEAD OF PROPERTY MANAGEMENT
Having worked in lettings and property management since 2006 Tara brings a wealth of knowledge to the team at Sterling, which she joined in 2012 having been head hunted on our behalf. Tara is born and bred locally and is a 'rock' of an employee for Sterling. If there is a drain that needs unblocking, a boiler that has broken down or a fence that needs putting back up - there are not many reliable, costs effective trades people in the area Tara doesn't know! While assisting Justin on the financial side of lettings Tara is the main point of contact for tenants to report faults to and liaising with landlords to get the best quotes possible to keep their investment properties in the best condition possible!

    Tara comments:

"When I was approached to work for Sterling Estate Agents I was really keen to meet with them and find out more. Being local to the area I had friends who were either tenants or landlords with Sterling so knew they had a great reputation and I was keen to understand more about their lettings and property management operation. Once I met with them I knew this was a company I would feel at home with and joined them in 2012 and not looked back since. It is so refreshing to work for a company who doesn't try and cut corners and maintains a professional approach to all aspects of the business."

Another local person Rachel's unflappable personality instills a sense of confidence and ability in anyone she talks to, be it tenants, landlords or the inventory clerks.

    Rachel Comments:

"When I was looking for my last career move I was determined to get a role which would challenge me and make the best of my characteristics and strengths. Dealing with the public is a challenging job that I thrive on and I love being a problem solver - whereas most people hate sorting out problems, I love it, and whats more, sorting out a problem quickly and to everyone's satisfaction gives me a real feeling of job enrichment. Working with a close knit team is also a real benefit since we can bounce off each other to ensure the best outcome is always achieved."

    Alfie Rolfe - LETTINGS NEGOTIATOR
Alfie is the front face of Sterling Lettings and property management. With a strong background in the hospitality industry Alfie has proved a real find for Sterling. Alfie's main role is to match the best tenants to the areas best properties managed by Sterling. Alfie is quick off the mark and doesn't miss an opportunity to secure the best offer for our landlords from the most suitable tenants. In the time Alfie has been with Sterling he has quickly established himself as one of the companies leading lettings negotiators and a bright future with Sterling inevitably lays ahead!

    Alfie Comments:

"I decided to have a slight change of career path from the unsociable hours that I was previously working in the hospitality industry but wanted to maintain a job role that was directly interfacing with the general public. After much thought and research I decided that my skills were best suited to a job in the property market. I had several interviews with various other independent and corporate letting agents, but the lure of working for one of the areas largest independents, Sterling, was too much to resist. Most of the training is 'on the job' however I am now studying for my qualifications and really appreciate the support I get from Sterling. The job is fantastic and I love the fast pace and cut and thrust of negotiating new lets for my landlords."

went the extra mile on my behalf...
      By Lorraine Olivia'
      Services: Lettings (as a Landlord)
      Rent PCM: £795
      Would you recommend?: Yes
I have been a client of Sterling for several years and been very satisfied with the service. I have not dealt with Olivia before and recently one of my rental properties became available after a 5 year tenancy. I emailed her and indicated the type of tenant I was looking for who would be appropriate for the property. I asked her to check on the condition of the property and what work might need doing as the existing tenant will move out before Easter and I wanted to organise contractors to keep the void period to a minimum. Olivia emailed back immediately in a friendly but professional way. She was pro-active, and set up an Open Day with reserved viewings and texted regularly with prospective tenants names and times. The property was let (subject to referencing) to the first couple who viewed..... I felt Olivia went the extra mile on my behalf and would do so for all her clients. A valuable asset to Sterling and its customers....

Benjamin Bird BA(HONS) MNAEA MARLA - COMPANY OWNER
Having worked for a corporate estate agency in the early part of his career Ben soon became disenchanted with the lack of flexibility, low investment in marketing, and general lack of service - all of which prohibited an estate agent generating the best price of his clients. In 2001 Ben grasped the nettle and opened Sterling Estate Agents which delivers our customers the very best marketing available, the best service and an honest approach all of which results in the optimum price being achieved from the best quality buyers.

Since 2001 Sterling have now grown to be the only estate agent with 4 prominent high street offices in Dacorum, supported by strong teams of experienced estate agents from each office

Ben comments:'When we opened Sterling Estate Agents we always had a vision of delivering the best of everything. I am lucky that having such experienced teams allows me to be a very 'hands on' business owner, ensuring I can still do the job I love - being an estate agent. This means I am still have a very proactive and effective input on the day to day running in all the offices including valuations, viewings and overseeing all offers which come in on our properties.

      Philip Gormley Associate Partner
Philip Joined Sterling In 2010, having worked at senior management level for the largest corporate estate agent in the uk. Now with 25 years experience in the property industry, and literally thousands of completed property sales under his belt he can be called upon for help and advice on all matters relating to the marketing and subsequent sale of your home.

Philip Comments " When I first met Benjamin I knew that Sterling was the only agent I would work for, his drive and ambition to make sterling the areas Number One selling agent was very apparent and I was happy to bring my experience to the company. In my time here we have grown into the largest estate agent in Dacorum and are considered the area's numbere one player in the development of land for residential housing, working with national developers such as Taylor Wimpy, Cala Homes, Shanly Homes, Rectory Homes, EJ Waterhouse and Laxton Properties.'

In his spare time Philip can be found walking his springer spaniel Max and is an long suffering Luton Town and u2 fan.

      Simon Inwood
Simon joined Sterling in December 2013, shortly after moving back to the UK having spent 12 years in the Spanish property industry. Starting as a negotiator in the Kings Langley Branch, he quickly put his extensive customer service and negotiating experience to good use and was promoted to assistant branch manager of the Tring office in August 2015. Originally from Croxley Green, and having recently moved to Tring he has extensive knowledge of all of the areas covered by Sterling.

"When I returned from abroad I wanted to quickly establish myself in the UK property industry. I spoke to a number of companies but it wasn't until I met Ben Bird that I knew I had found the right one. I cancelled other meetings and accepted the offer on the spot. Sterling have all the qualities I look for, quality of service, integrity, professionalism and above all the desire to put their clients above all else and deliver the goods. As a family run business it's a great company to work for and that translates into the enthusiasm required to get the best price for the client's property, every time"

      Susan Reece
Sue has been in the property industry for several years, working predominantly in areas surrounding Berkhamsted, Tring and Aylesbury. Her experience also covers working with independent estate agents and also a large national corporate. Sue enjoyed working in the new build market for two large developers and several independent developers. Initially with a back ground in sales and training within the customer service division, and also having owned her own successful training business before relocating to Tring, Sue has a breadth of experience with strong customer service skills, and always puts her clients needs first and foremost.

Sue Commented  "Sterling has been a very rewarding company to work for. It is fast paced with loyal staff who enjoy their work,  being more mature, i enjoy working with families looking to buy but also to the older client for whom a move later in life is a very challenging and potentially daunting prospect.."

      Sam Carter Head Sales Progression
In her former life Sam was a solicitor....and now heads up our sales progression department. Internally Sam is considered the guardian angel of the company since she is tasked with looking after our sales once they have been agreed. Sam's role involves liaising with all the estate agents in a chain, the solicitors and giving valuable updates to our sellers and buyers. Sam's experience, problem solving skills and sheer tensity are all skills ideally honed to such a job. If you want to reduce the chances of a stress free sale Sam is the lady to look after you!

Sam comments:Having previously been a solicitor, and run an independent estate agent as a branch manager I am fully aware of the problems and pitfalls once the sale leaves the estate agents office and is placed in the hands of the solicitors. When I was a branch manager at my previous employers it could sometimes be difficult to find time in between valuations and negotiating offers to dedicate serious time to progressing sales and updating clients. Sterling have created this role to ensure our clients are kept in the loop at all stages and not just forgotten about - this is yet another aspect of Sterling Estate Agents dedication to providing the best possible customer service.'

All the staff at Tring were very helpful throughout. They carried out a pro-active marketing campaign which was very much more effective than another agent we used in the area. They kept calm and professional throughout - even though there were the inevitable tensions when selling a house, especially when things seem to go quiet. Ben keeps an eye on his team, responds when necessary, and is very skilled when it comes to negotiations. A special thank you also to Andy who 'went the extra mile' and sent on an ornament I left in the house when we moved.

Phil, Andy and Heather were always professional, provided sound advice, and pulled out all the stops to complete the sale of our property. Within a week of instructing Phil and the team at Sterling we had people through the door, and within 8 weeks we had a had a buyer with a reasonable offer. The chain was rather tedious and Heather worked extremely hard liaising will all parties within the chain to bring to a timely and successful conclusion. A job very well done...

We were very impressed with Ben Bird from the moment we met him. His enthusiasm was infectious and he had a very clear understanding of what our expectations were. His vision of what our house had to offer, and what it could potentially offer prospective buyers, and his knowledge of the local housing market and clear objectives where what led us to select Sterling over other agents in the area. Ben and his team delivered on every level and within the time frame that was promised. In our opinion you would be pushed to find a more professional, friendly and committed team. Our friends are all seriously impressed with the service we have received.
