    Please see below tenant information in respect of renting an apartment through us. We ask that you take the time to read through the points carefully before signing the Application Form which will be deemed as your acceptance of the terms.

    1. Registration
    There is no charge for registering with us
  • paragraph

    2. Applying for a Tenancy
    Once a suitable property has been found, you will be required to complete an Application Form. Every individual over the age of 18 who will be residing in the property must complete a separate form.

    Important Notice - All questions on the Application Form must be answered in full. If you have any adverse credit history you must provide full details as this will most certainly affect your application and we would strongly advise that you discuss this with one of our negotiators before completing the form.

    3. Referencing, Credit Searches and Agency Fee
    Until a signed and completed Application Form(s) is(are) received together with an Agency Fee of £350.00 plus vat the property cannot be reserved.

    All applicants will be referenced and thorough credit searches undertaken. If inaccurate information is supplied which results in an adverse report being received from our Referencing Agents the application will be rejected and the Agency Fee retained for the re-marketing.

    If for any reason the property is withdrawn by the landlord the Agency Fee paid against that property will be returned in full. If for any reason an applicant decides not to proceed or any adverse credit history has not been disclosed the Agency Fee paid will be retained.

    4. Guarantors
    In some instances a Guarantor may be required. If this is the case the Guarantor will be referenced and subject to a credit search in the same manner as the applicant and must be able to show sufficient income or savings to cover the rental payments in the event that the tenant defaults for whatever reason.

    5. Tenancy Agreement
    Once all satisfactory references have been obtained and a moving date agreed an Assured Shorthold Tenancy Agreement will be drawn up ready for signing by the tenant (and if required the Guarantor). Under no circumstances will the tenancy commence until the Agreement has been signed by all parties.

    6. Security Deposit
    The Security Deposit will be held and protected under the Housing Act 1996 & 2004 (Tenants Deposits Protection Order) by The Deposit Protection Service (The DPS) in accordance with their Terms and Conditions and at the end of the tenancy, if a dispute arises between the landlord and tenant with regard to the apportionment of any deductions from the deposit, e.g. for costs or compensation for damage, or for breaches of, or failure to comply with the tenant's obligations and mutual agreement cannot be reached the amount in dispute will not be paid over to either party and the matter shall be referred to The Deposit Protection Service (The DPS) for arbitration.

    The deposit will be the equivalent of one and a half months' rent i.e. rent £1,000.00pcm - Security Deposit £1,500.00.

    7.Agency Fee & Additional Guarantor Fee
    An Application Fee is payable at £350.00 plus VAT. This fee incorporates an administration charge, the referencing charge and a contribution towards the preparation of the Tenancy Agreement.

    If a Guarantor(s) is(are) required there will be an additional administration charge of £50.00 plus VAT for every Guarantor application.

    8. Payment of 1st Month's Rent & Deposit
    The first month's rent, security deposit and balance of any fees outstanding must be paid 3 working days before the commencement of the tenancy. Payment must be by cleared funds 2 DAYS BEFORE THE COMMENCEMENT OF TENANCY i.e. Bankers Draft, Building Society Cheque, Cash or Bank Transfer. Personal or company cheques will only be accepted if paid at least ten working days before the agreed tenancy commencement date. NOTE - Payments by Card. Please be aware:If you choose to pay any monies by debit card there will be a fee of £1.50 added to the cost. If you choose to pay any monies by credit card there is an additional amount equating to 3% of the amount being paid added to the cost.

    Payment of rent

    Rent is paid monthly in advance. All rental payments (after the deposit and initial month's rent have been paid) must be paid by Standing Order. A Standing Order Mandate will be prepared for you to sign at the same time as signing the tenancy agreement.

    10. Inventories
    Where The Apartment Company manage the property an Inventory will be prepared listing the contents and the overall condition of the property. The tenant will be handed two copies (one to be retained) of the Inventory with the keys to the property at the commencement of the tenancy. The inventory and associated comments should be checked carefully and adjustments made where necessary. The checked inventory must be returned to The Apartment Company within seven days of the commencement of the tenancy. After this time no amendments to the inventory will be accepted.

    11. Checking In & Out (Fully managed)
    Checking-In & Checking-Out (Fully managed properties) Should a Saturday check-in or check-out be requested there would be an additional charge of £35 + vat per appointment.

    12. Utility Companies
    Utility accounts - electricity, gas, oil and water will be transferred into the tenant's name at the commencement of the tenancy. However, it is advisable for the tenants to also confirm this direct with the utility companies. At the end of a tenancy the utility companies will be informed and final readings passed to them. Again it is advisable for the tenant to confirm this directly with the service provider.

    13. Council Tax
    The tenant will be responsible for payment of the Council Tax to the local authority who will be informed of the commencement date of the tenancy in the case of fully managed properties. If the property is not managed by The Apartment Company the responsibility for informing the Council will be with the occupant.

    14. Telephone/Broadband Connections
    If you wish the telephone/broadband to be connected at the time of occupation then the provider (ie British Telecom) should be contacted at least seven working days in advance. Any reconnection fee(s) is the responsibility of the tenant(s).

    15. Mail Redirection
    Mail addressed to the Landlord should be redirected to The Apartment Company.

    16. Pets
    The acceptance of pets in any property is at the discretion of the landlord. In all cases without exception, the tenant must undertake to have the carpets professionally cleaned and treated against infestation at the end of the tenancy. The Apartment Company will arrange for this to be carried out and deducted from the Security Deposit. If the tenant makes their own arrangements to have the work carried out a receipt must be provided.

    17. Insurance
    Tenants are strongly advised to insure their own possessions and to cover any accidental damage. This is not the responsibility of the Landlord, nor will the Landlord's insurance cover accidental damage caused by the Tenant.

    18. Commencement of tenancy
    A date and time will be arranged for the tenant (and if applicable the guarantor) to come into the office and sign the Tenancy Agreement. If we are managing the property we will arrange another appointment to meet the inventory clerk at the property and they will hand over the keys following the check in.


    PLEASE NOTE: The 1st moth's rent and security deposit  MUST BE RECEIVED 2 DAYS PRIOR TO THE COMMENCEMENT OF THE TENANCY.

    Termination of Tenancy (managed properties)
    A representative of The Apartment Company will attend the property on a mutually convenient day and time to carry out the checkout. Where an inventory has been prepared everything listed in the document must be present. Allowances will be made for reasonable wear and tear. Any damage/breakages/extra cleaning will be deducted from the Security Deposit.

    A forwarding addresses should be given for the refund of deposit.

    I should like to record our experience of instructing the Apartment Company, in the letting of our flat.
    From the beginning, they were extremely helpful and forthcoming with advice, specifically concerning our flat and generally over matters relating to it.
    Their instruction to let our flat came about because we had purchased it through them ! During the purchase process we had been so impressed by their professionalism that we wanted them to act this time for us!
    Their instruction then resulted in many viewings over a period of a couple of months, but disappointingly nothing came of them.
    Eventually, we decided that the rent must have been putting people off and had a lengthy discussion with them on this and the flat generally. They were extremely good at listening but importantly were sound with their associated counsel. The rent was subsequently reduced which did the trick and quickly we secured a letting. By quick we mean
    a tenant was found on the thursday and by the following tuesday all the paperwork and detail had been concluded and the tenant was in residence ! The Apartment company was extremely efficient to say the least.
    One of the most striking things for me about the Apartment company however was their honesty in recognising one particular oversight on their part. Their humility and honesty in accepting their mistake was extremely refreshing in this day and age.
    Generally,the Apartment company pulled all the stops out to get our flat let as quickly as possible and their openness was exemplary . Whilst noone or company is perfect I will say, without hesitation, that they will get our vote every time and will certainly retain our instruction into the future.

    Lydia joined the company in February 2014 and has made a fantastic impact on our business. She is responsible for the preparation of our clients sales particulars, preparing our. advertisements and plays an active role in managing our social media. Lydia also supports Sharon with sales progression, checking out chains and liaising with solicitors to ensure swift and smooth sale. Lydia is on our staff training program and she will be encouraged to develop her knowledge and skills over the coming years.
