1. Marketing and advertising of your property
As an established letting agent we attract numerous daily enquiries for rental property. Your property will be promoted in all of our offices throughout the region, on the internet, via Rightmove and Robinsons websites and within local newspapers. A ‘To Let’ board will be erected unless we are instructed otherwise.
2. Accompanied Viewings
A representative from Robinsons Lettings will accompany prospective tenants on viewings providing we are supplied with a key and the owners or tenants are not in residence.
3. Tenant selection, introduction and referencing
When a tenant is found, we will instruct an independent referencing company to obtain confidential references prior to the commencement of all tenancies. These will include employer, previous Landlord references along with a complete credit check.
4. Tenancy Agreement
Robinsons Lettings will prepare a comprehensive Assured Shorthold Tenancy Agreement that has been specifically designed to cover the most recent legislation to protect your interests. An initial agreement will be drawn up for no less than six months unless otherwise agreed.
5. Rent Collection
Robinsons Lettings will collect the first months rent in advance and we would always recommend that the Landlord take a security deposit (bond) from the Tenant and register these monies in the Landlords chosen Tenancy Deposit Scheme.
6. Notification to Utilities
We will notify Council Tax Department and Water Company of the commencement of a new tenancy.
7. Subsequent Rent collection
Robinsons Lettings make suitable arrangements for collection of rents (Whilst every effort will be made to collect outstanding rent arrears no responsibility will be attached to us for a defaulting tenant, dilapidation or non payment of service accounts). The transfers of rental income to a nominated bank account or direct to you by cheque and the preparation of accounts which can be passed on to your tax adviser.
8. Security Deposit (Bond) Collection and Registration
In addition to the collection of a minimum of the first months rent, Robinsons Lettings will also collect a security deposit (usually equivalent to one month’s rent plus £100), these funds will then be registered within our chosen Tenancy Deposit Scheme.
9. Inventory Preparation
Robinsons Lettings will prepare an initial and final inventory / schedule of condition. When managing the property we will make the necessary arrangements for this using our experienced inventory personnel. We will then report our findings to you and this can then be used to compare the property condition at the end rof the tenancy, when the tenants have vacated.
10. Inspections and reports
We will regularly visit the property to ensure the property is being looked after in accordance with the tenancy agreement. A copy of our report, including comments from the tenant, will be forwarded to you for your information.
We will arrange routine repairs and general maintenance, including the payment of repair bills. The Landlord is responsible for all general repairs to the property, including all appliances and equipment. Where major works are necessary, an estimate will be obtained and sent to your for approval. These tasks will be carried out with your full co-operation.
