    Cross Keys Estate Agents was created by Directors Jack Merriott (MNAEA) and Craig McMillan Duncan (MNAEA) in 2003 and started trading from Stoke Village with a view to selling properties within the West of Plymouth area.

    The Company was named after "Cross Keys House" which is the name of the building where the Company was housed from the beginning. It seemed appropriate to keep the spirit of the building alive by adopting the name for the Estate Agency. The name "Cross Keys House 1905" can be seen at top of the building to this day and dates back to when it first operated as a public house.

    After establishing ourselves in the areas that we set out to, we took the decision to expand and were delighted when Steve Jones (FNAEA MARLA) joined us as a fellow Director in January 2014. With his arrival Steve brought extensive knowledge of the industry after spending most of his career in Plymouth as an Area Director for a large corporate and latterly as a Director of one of the largest Independent letting agents in Plymouth.

    Each of the Directors are "working Directors" and can be found at the front end of the business on a daily basis. We are firm believers that a Company thrives by having a high level of Customer care and we strive to deliver this at all times. Advice for Landlords

    Letting out a property can be a confusing time, especially with legislation changing regularly in the industry. It is vitally important that you make the right decisions and are happy with those that you make.

    To assist you with this we have put together the guide below which is designed to assist you in choosing the correct Letting Agent for you.

    Choosing an Agent

    Always choose an agent that is a member of a Professional Body. These are:

    • The National Association of Estate Agents (NAEA)
    • The Association of Residential Letting Agents (ARLA)
    • The Royal Institution of Chartered Surveyors (RICS)

    You should also ensure that they are registered with a Property Redress Scheme such as The Property Ombudsman.

    Client Money Protection
    It is strongly recommended that you choose an agent who subscribes to The Client Money Protection Scheme (which is a compensation scheme run by the National Federation of Property Professionals (NFOPP). This scheme provides compensation to landlords, tenants and other clients should an agent misappropriate their rent, deposit or other client funds.

    Decide what level of service you require
    Make a decision whether you would like the agent to simply find you a tenant (tenant find only) or fully manage your property (Fully Managed).

    Check the agents Landlord contract

    It is absolutely vital that you check the contract before you sign it. There are agents in the marketplace who may require you to give as much as six months' notice to cancel the agreement. You should expect to have a notice period but it is suggested that two months is reasonable.

    You will be amazed how the Landlord agreement and fee structures can vary. The best advice would be to select an agent with an explicit charging structure.

    Gas Safety
    Satisfy yourself that your agent will arrange, or at the very least, remind you that the annual gas safety check is due if your property is being managed by them. This is too an important task for it to be forgotten by either the Landlord or the Agent!

    General Safety in the property
    Ensure that the agent will check that the property meets all other standards such as furniture, fittings, electrical fittings comply with current regulations. It is also important that the property complies with the HMO regulations including licencing.

    Maintenance and Emergency Reporting Measures

    Ensure that your agent of choice will deal with queries from the tenants and they are set up to arrange for routine repairs and maintenance. It is suggested that they are allowed to spend up to a specified limit on this but this is something you should discuss with them so that each party knows what to expect of each other. You may even wish to instruct your own contractors.

    Ensure that your agent has set up Emergency Reporting Measures for any emergency issue that may occur out of working hours. A responsible agent should have emergency telephone numbers both on their website and on their out of hours telephone system.

    Ensure that the agent you choose is capable of giving your fully compliant rental statements both monthly and annually. These statements are vital when it comes to filling in your end of year tax return.

    Although the temptation may be to choose an online agent, it is important to select an agent where they have a high street presence.

    Without an agent you may miss out on vital foot-fall when tenants visit offices to find a property. It is also important to have somewhere to visit if you want some "face to face" interaction.

    Letting a property is not as simple as choosing one and simply paying over your money to the Letting Agent and picking up the keys. There are various procedures that you have to go through to get into a position where you can move into your new home and it is a good idea to prepare yourself for what can be a very confusing time.

    The guide below is designed to give you some hints and tips on how to go about finding your perfect property whilst making sure that you are as prepared as you can be for what is to be expected of you.

    Do your homework
    Your starting point for letting a property should be doing some research to identify the areas you would like to rent in. It is a good idea to make a list of things that are important to you, such as schools, shopping areas, bars and so on. Be sure to share your list of preferences with your letting agent so that they can assist you in your search!

    Be Flexible

    As the lettings business is so fast moving it is important that you remain as flexible as possible when it comes to viewing a property. If you are alerted to a property you like the look of, call the agent immediately as it would be such a shame if you missed out on the property of your dreams just because you thought you would wait a few hours to call! As the old saying goes, "you snooze, you lose".

    Also do not necessarily be put off by details in the property. If you don't like the colour of a particular room, or there is furniture you would not want, have a chat with the agent. We encourage our landlords to be as flexible as they can if it means getting the right tenant into a property.

    Get Prepared

    Make sure that you have your documents ready. It is not just a case of you choosing a property and the agent handing over the keys, far from it! The will need to take Identification from you to satisfy the Money Laundering Regulations and check your immigration status (if applicable) and forms will need to be filled in to actually apply for the property that you have in mind.

    The form will ask for various information about you including your employer, your last 3 years addressed and even if you need a guarantor. The better prepared you are the smoother the process should be to get you into the property you want.

    Be certain

    It is important that you do not sign the tenancy agreement unless you are positive that you want to rent the property as there is not any kind of cooling off period and the Landlord can hold you to the full term of the agreement once it is signed.

    It is your responsibility to ask all of the relevant questions before you sign the document as once you move in it is too late to change your mind. Obviously signing a legal document like a tenancy agreement is a big step so make sure you have thought it through properly before you take the plunge.

    Be cautious
    Exercise extreme caution with who you share a property with, especially if each of you are signing the same tenancy agreement. If you do sign an agreement with other people then you make yourself liable for their share of the rent as well as yours and also for the cost of any damage that they might do to the property. The rule you should stick to is that you only sign a tenancy agreement with people that you fully trust.

    Check the property on entry

    Once you have signed the tenancy agreement and have picked up the keys, the first thing you should do is check the condition of the property (and any contents that form part of the agreement) against the Inventory that would have been conducted a few days previously.

    If there is anything you do not agree with in the Inventory then make sure you make a note on the Inventory or email the office. Taking this course of action will assist you if you have a dispute regarding the deposit at the end of the tenancy.

    Clean the property on exit

    When you leave the property a "check out" report will be conducted and this will be used to show the Landlord in what state the property has been left in. This report will be compared with the Inventory "check in" report and recommendations made to the Landlord.

    Most tenants are sensible and always ensure that it is left in a clean and tidy manner with carpets cleaned and so on. In the event that deductions are recommended due to any issues that have been highlighted and you disagree with them (and you are unable to negotiate) then you can contact the scheme administrators of the tenancy deposit scheme used by the agent and a dispute can be lodged. Do not delay in dealing with this situation as there may be a time limit.

    Read the meters

    When you first move into the property, make sure you take up to date meter readings for all of the utilities (gas, electric and water). You should then contact the providers with these readings and they will open a new account for you. Failure to do this could mean you end up with inaccurate bills and have to pay more than you really should!

    This is also relevant even if there is key or card meters in the property. The rule of the thumb is, if there is gas, electric or water in the property - call the companies to register! The same goes when you leave the property - take final meter readings and inform the utility companies with your forwarding address.

    Sign up to the electoral roll

    It is always a good idea to get yourself on to the electoral register when you move into a property. This obviously mean that you are able to vote in any up and coming elections but will also assist you in improving your credit score should you wish to apply for credit at some time in the future. To register you should contact your local council for guidance.

    I am the co-creator of Cross Keys Estates, which started out as a one office business based in the heart of Stoke Village in 2003. My role within the business has evolved into me becoming the Compliance Director for the company. In essence, I look after the "back office" of the business while my 2 co-Directors, Jack and Steve, look after the "front end".As well as looking after the business needs I am also a fully qualified Energy Assessor and Green Deal Advisor and look after any Energy Performance Certificates that may need doing for the company.On a personal level, I am a dad, a partner, a brother and an uncle! I am passionate about my home city and am proud to live in such a fantastic part of the world.

    I am a Director of the Company and a vastly experienced Estate Agent, having worked within the industry since 1978 throughout Devon and Cornwall, but predominantly within Plymouth City.My enthusiasm and passion for this wonderful business are as strong now as they were at the outset of my career. My primary objectives are to match potential tenants to the right properties, meet and liaise with Landlords in a bid to expand our property portfolio, manage and maintain properties through regular inspections and to provide guidance and support to everyone concerned with the letting process. I enjoy my role immensely as it involves me with all aspects of the business.     I have been in estate agency since 2010, when I joined a local, independent Company at the young age of 16. By the time I was 18 I was managing an outer city office and dealing with all appraisals, putting properties onto the market and overseeing the running of the office. This has enabled me to develop a wide knowledge of the industry as a whole and I continue to learn more and more each day. My primary role within Cross Keys is to carry out valuation appraisals of properties prior to them coming onto the market, however I do get very much involved with sales chasing, viewings and all other aspects of a professional estate agents tasks.I joined Cross Keys Estates in 2013 as I was looking for a much busier environment than my previous position and Cross Keys are an expanding progressive agent in Plymouth as well as an award winning one. I thought my career would be heading in the right direction once I joined them, I was right.       Cross Keys Estate Agents was created by Directors Jack Merriott (MNAEA) and Craig McMillan Duncan (MNAEA) in 2003 and started trading from Stoke Village with a view to selling properties within the West of Plymouth area.

      The Company was named after "Cross Keys House" which is the name of the building where the Company was housed from the beginning. It seemed appropriate to keep the spirit of the building alive by adopting the name for the Estate Agency. The name "Cross Keys House 1905" can be seen at top of the building to this day and dates back to when it first operated as a public house.

      After establishing ourselves in the areas that we set out to, we took the decision to expand and were delighted when Steve Jones (FNAEA MARLA) joined us as a fellow Director in January 2014. With his arrival Steve brought extensive knowledge of the industry after spending most of his career in Plymouth as an Area Director for a large corporate and latterly as a Director of one of the largest Independent letting agents in Plymouth.

      When looking to put your property on the market, you will have to make decisions on matters that you are not necessarily fully confident about. It is important to prepare yourself properly to try to ensure that you not only sell your property but sell it at the best price you can.

      The guide below contains some advice on how to go about getting your property on the market at the right time, with the right presentation at the right price and with the right agent.

      Preparing Your Property Inside & Out

      Just like when you decide to sell you anything, like your car, the first thing we always do is to give it a clean, hoover it out, polish it and maybe even put an air freshener in it. Why should your house or flat be any different?

      • First impressions count - make sure it looks good at the front. Cut the grass, remove any litter, make sure any flaky paint has been removed and repainted.
      • Try to put your litter bins out of sight.
      • Make sure people can see your house, cut and trim any hedges, trees or shrubs that might be obscuring the view of your property.
      • Inside, clear away the kids' toys, make sure the beds are made and the washing up is not in the sink. It doesn't have to be a show house, but presenting it in a clean and tidy condition can only help.
      • Open up the blinds or curtains to let in as much light as possible.
      • Make sure that the entrance is clutter free and obstacle free as this will be the first room that viewers will see.
      • If you have pets, make sure that they are out of the property and that the property doesn't have a pet odour.
      • If you use a dehumidifier, make sure that it is out of sight, the same with added heaters. These say that you may have damp issues or that your heating system is not adequate enough for your needs and potentially theirs.
      • After you have your Energy Performance Certificate, try changing any energy efficient light bulbs for normal ones so that if required, when the lights are switched on you have immediate light rather than ones that take their time coming to full brightness.

      Choose the Right Estate Agency
      • You might think all estate agencies do the same job. You would be right. The important thing to establish is how they do the job.
      • There is no substitute for experience. Choose a firm that knows the area, the houses and the people.
      • Having two, ten or fifty offices isn't as important these days as it used to be. However, having a High Street office is. People need somewhere to go and be able to speak to someone face to face.
      • If things go wrong, you want to be sure you have some to complain to. Honest Estate Agents will always back their service with a right of redress through a recognised body. Look for a firm that is RICS or NAEA or ARLA registered.
      • Do you like, trust and have confidence in the person/people who will be selling your property?
      • The hard salesman isn't always the best salesman. Someone who offers constructive, unbiased advice and knows his clients is often the most successful in concluding the deal.
      • Don't necessarily go with the highest valuation. It may be the estate agent wants your house on their books at any price.
      • Has your agent given you advice on any changes that may help get you a better price for your property or did they just say "No, it's perfectly fine the way it is"?
      • It is not easy to tell a potential vendor if there are any faults with the property but an honest agent will point these out as they may affect the value of your property and any potential sale. Remember 99% of sold properties have a survey and a surveyor will certainly pick up these potential faults.
      • Have you looked online for customer reviews about the agent you are thinking of using. www.allagents.co.uk is a great place to start. See what other clients have to say about their experiences with that agent.
      • Internet agents often charge less but their fees are payable whether they sell your house or not. Why waste money if they do not sell your property, high street agents only charge you once your sale has completed.

      Make Sure High Quality Photos are used
      • Get well taken photographs with a good digital camera and wide angle lens. Avoid "Fish eye" photos. They distort the room and lead to disappointed viewers who were expecting something bigger than it really is.
      • Do not pay for your photos. A good agent will provide these as part of their service, these should not be an "ADD ON", you shouldn't have to decide between a Bronze, Silver or Gold standard of service, the agent should offer you their best service all the time not just if you pay for it !!!
      • Ask your estate agent how many photos they publish on the internet. The more the better. I have been witness to several properties that have only had 3 or 4 photos from their previous agent; this is nowhere near enough for potential buyers to decide if they may want to view your property. To get serious buyers through your door, show them as much as you can about the house. Make sure the only surprises are good ones.
      • If the weather is not good on the day you are having the photos taken, will the agent come back and do some new ones in better conditions so that your house will look at its best online. Blue skies always make property look better.

      Get the Value Right
      • It is natural for each of us to try and get the best price for our property, but sometimes you could be tempted to be a little optimistic.
      • Don't rely on House Price Indexes (Indices). Your local estate agent may have been in half the houses in the street and be able to use his experience and knowledge to give you an accurate valuation and suggest an asking price to help get the best figure and buyers through your front door.
      • Be careful that you don't start too high and make too many price reductions. This can lead to buyers thinking there is something wrong with your property when all that was wrong was the price.

      Make the Most of Viewings
      • Estate Agents show and sell houses every day, so let them do the job for you. They will feel more comfortable selling the house than you and can take the emotion out of the viewing.
      • If you show the house, try and remember the things that first attracted you to it. Don't concentrate solely on the house and tell them about schools, shops, transport and the lovely neighbours.

      Agree a Sale Price
      • When offers come in, let your Agent use their experience to negotiate on your behalf.
      • Keep some 'distance' between you and the buyer; don't get too friendly. The last thing you will want is unexpected knocks at the door when they want to do a review and you may not have the house in the same condition as when they first saw it.

      Decide on a Buyer
      • If you get more than one offer on your property, don't necessarily go with the first or the highest one.
      • Consider the position of the prospective buyers. Make sure your Agent qualifies them for you. Are they really a cash buyer?
      • Make sure your agent has done their homework and knows if there is a chain and if so, how many houses, and what are the other sellers/buyers circumstances are.

      Choose the Right Solicitor/Conveyancer
      • Pick a reputable, professional who has a proven track record of dealing with matters efficiently.
      • Help your solicitor by providing the information you are asked for quickly.
      • Avoid using internet conveyancing firms as if there are any issues you may find it easier if your chosen legal professional is local so that you can pop in to see them if needed.
      • Look at reviews for these professional as well. Google has reviews on most firms so when you type them in to your search engine, you can see what other people have said about them.

      Be Prepared for Bumps in the Road
      • Sales can fall through for all sorts of reasons.
      • Think in advance about how you will deal with any remedial work identified and/or down valuation by the surveyor.
      • The golden mile is getting to exchange of contracts. This is usually the point that you can start booking things with certainty such as removals, time off work and any tradesmen that you will need to work on your new home.
      • Your estate agent will try to help you get though this with as little stress as possible but always bear in mind that once a sale is agreed, it is now up to lots of different people to get past the finish line such as your financial advisor but especially as this is a legal process, your solicitor is the person that will dictate how your sale or purchase goes, your agent can only pass on information and try to push all parties in the right direction.

      Free Mortgage Advise

      A mortgage is most people's biggest single outlay, and small differences in how much you borrow can have a massive effect. Please make sure that when you are looking for a mortgage you see a fully independent, whole of market and free mortgage broker. Normally if you go direct to your bank they will offer a range of products but not necessarily the best one for you as ultimately they do work for the bank and the banks shareholders and are trying to make them as much money as possible, not save you as much money as possible.

      An independent broker is employed by you to find you the best deal from the entire mortgage range available on the open market. The broker normally gets paid by the lender that they place you with and this is why you should never pay up front for mortgage advice.

      Some Estates Agents will tell you that it is either their company's policy or that the seller has requested that you see the estate agents financial advisor so that they can qualify you as a buyer - THIS IS ILLEGAL. All you need to provide is either an agreement in principle, bank statement or provide the details of your own financial advisor.

      The Cost of Moving

      It's not as easy as you may imagine. Buying a home will almost certainly cost more than you think. Here are some points to factor in.

      • Mortgage arrangement fee: Expect to pay your lender an arrangement fee. They vary but £1,000 is typical. In some cases this is non-refundable, even if the purchase falls through.
      • Valuation fee: This is the fee lenders charge for a valuation to check the property exists and that it also offers sufficient security for the loan. The cost varies according to lender and purchase price, but you would be wise to budget for £300.
      • Legal fees: Many lenders will contribute to legal fees, although in that case you would have to use a solicitor approved by them. If you pay for your own conveyancing, you're looking at about £500-£800, depending on purchase price.
      • Stamp duty: If you are buying a property for more than £125,000, you'll have to pay stamp duty on its purchase price. The level of stamp duty will vary depending on the value of the house that you are buying and also if you already own another property, you may pay more stamp duty than someone who is buying it as their main and only property.
      • Surveys: These are another costly aspect to any purchase, with a typical survey costing between £400 and £700.
      • Removal costs: Unless you are intending on putting all of your belongings into the back of a car, you may want to factor in renting a removal van. These can start at £100 for small local moves, but can easily be in up to the £1,000 for moving a family's worldly possessions long distances.
      • Home repairs: From flaky paintwork to leaky sinks, put aside some cash for unexpected property maintenance.
      • Furniture and extras: If you are currently renting a furnished place? Remember you'll need to buy everything from beds and sofas to lawnmowers and carpets. Then there are those essential extras: light bulbs, lamp shades, toilet brush, washing up bowl, door mats, hooks and extension leads.       It is important to find out how much you can borrow before you start house hunting. It is not always the best thing to borrow right up to the maximum that they will lend you as you may want to borrow some more money in the future for redecorating, repairs or upgrades in the home.

      • Find a property: Research the area, scour estate agents and search websites.
      • Put in an offer: Tell the seller what you're willing to pay and any conditions. Offer to exchange: normally 6 to 10 weeks
      • It's accepted: Now get a survey to check the property's condition. Your solicitor checks any legal issues.
      • Exchange: You pay your deposit and can't back out without major cost. Exchange to completion: This can be simultaneous or have a gap up to 4 weeks
      • Completion: You hand over the rest of the cash in exchange for the keys and deeds. The property's now legally yours. From offer being accepted through to completion and getting the keys could be 12 to 14 weeks

      Your Credit Score
      It is important not to apply for mortgages before checking your credit files with one of the main agencies. Small mistakes may lead to your application being rejected. For example, active accounts registered to old/wrong addresses can hurt badly, so whip through your credit files and ensure any active account (even historic and unused) is registered at the correct address. It's possible to check your files by using companies like Experian.

      AIP's Agreements In Principle Mortgage

      Few lenders will offer you an actual mortgages until you have actually had an offer accepted on a property, they will, however, offer you an 'Agreement in principle' (AIP). This provisionally lets you know how much you can borrow, subject to finding a suitable property in a specified time.

      Proof of your deposit and AIP can give you a big advantage when putting in an offer on a property. It may mean a credit check, (each time someone does a credit check on you it will leave a mark on your credit history), although one mark on your file isn't too big a deal, but if you get too many mortgage brokers or banks doing a credit check on you it could really hurt your credit score. Do bear in mind AIPs give absolutely no guarantees - they are subject to a surveyor doing a valuation on your chosen property.

      No matter how plush the pad, always remember the saying, Location, Location, Location. You can't move a home to another spot, but you can do it up.
      So prowl the neighbourhood on foot, hunting for clues. Visit the parks and pubs at different times of day.
      Are cars clean and well-maintained?
      Do you like the local shops?
      Are walls scrawled with graffiti?
      Get the lowdown from locals and ask a local bobby or Neighbourhood Watch co-ordinator.
      If you're a total newcomer, stay in a local bed and breakfast or Airbnb room to get a real feel for the area.
      Police crime-mapping websites show local hotspots and break down recorded crimes such as burglary and anti-social behaviour.
      Elsewhere, there's free information on school league tables and even noise level checks.

      Before putting in an offer, pose as many questions as possible - and get important answers in writing. Nothing is too silly. You may notice them squirming when you broach certain subjects.

In essence, I look after the "back office" of the business while my 2 co-Directors, Jack and Steve, look after the "front end".As well as looking after the business needs I am also a fully qualified Energy Assessor and Green Deal Advisor and look after any Energy Performance Certificates that may need doing for the company.On a personal level, I am a dad, a partner, a brother and an uncle!       I have been in estate agency since 2010, when I joined a local, independent Company at the young age of 16. By the time I was 18 I was managing an outer city office and dealing with all appraisals, putting properties onto the market and overseeing the running of the office. This has enabled me to develop a wide knowledge of the industry as a whole and I continue to learn more and more each day.
