These may change as our property partnership develops (which we hope it does) and thats fine. We're here for you and we're nothing if not flexible.

    Our Service Levels

    FINDING A TENANT

    This is an entry level service for Landlords wishing to undertake full day-to-day administration and management of the tenancy process, and who need us to find just the right kind of tenant for their property.

    COLLECTION OF RENT

    An intermediate level service for Landlords wishing to undertake full day-to-day administration and management of the Tenancy but who may need us to collect and distribute the rental monies.

    FULL MANAGEMENT

    Our comprehensive management service is specifically geared to Landlords who need worry-free letting of their property and who are happy for us to provide a qualified property management specialist to oversee every aspect of each tenancy.

Our Lettings Service - Tenants

    Step to step guide for new tenants.

    Where to begin

    Its hard to know where to start when you are looking to rent a property for the first time, or even the second or third time. Below is our brief guide on the first steps to finding you a property to rent.

    The first step is to contact your local Richard James office who will register your details and discuss your search requirements. Try to have in mind some or all of the following.

    Where do you want to live? ( Have a look round at the areas that would suit you, or just come in for a chat and we can help. )

    What are your 'must haves' and 'would like to haves'? What's your budget? How long do you want to be renting? When do you need to move?

    We recommend beginning your search around 6-8 weeks prior to your ideal move date to ensure all the paperwork gets done properly.

    Step two:

    View a selection of properties from our extensive portfolio. One of our expert team will show you the best properties available in line with your requirements.

    The Swindon property market moves very quickly. If you find the perfect property, one that suits the majority of your requirements, you may wish to place an offer on the same day - be prepared, it may be the first one you see!

    Step three:

    Once you've found the place you want to rent, you'll need to complete an offer form with your negotiator, ensuring all your requirements are clearly stated. A Non-Refundable Deposit of £250.00 is payable at this stage. This amount is refundable should your offer not be accepted or the landlord withdraws.

    Step four:

    When your offer is accepted, the referencing checks will be put into progress. A referencing company will liaise direct for the application forms to be completed. Our negotiators will contact you should we require any further infomation at this stage.

    Once the referenceing stage is complete and satisfactory, we will confirm your offer and you will also be issued with a statement of account for your initial payment due on the day you move in.

    This will include:

    • Rent for the first month

    • Deposit - equivalent to six weeks rent

    • Administration fee for referencing (note of all tenants fees can be found here)

    Future payments for monthly rent are taken by standing-order in advance so please have your bank account details available to complete the form. Please note the signature must be an original as faxed copies are not accepted by the banks.

    Step five:

    Provided that all payments, documents and references are in order, your keys will be available for collection on the start date of the tenancy. Your negotiator will ensure that this is organised at a convenient time and we will meet you in our offices to go through the tenancy agreements and take your initial payments and to hand over your keys.

    We inform utility providers that you have moved into the property and ensure all accounts are transferred into your name (with the exception of telephone and broadband).

    A copy of the inventory check-in report will be given to you on the day of move in, you will have 7 days to make any amendments. Now relax and have a cup of tea.

    Step six:

    If your property is managed by us, you will be advised of the name and contact details of your property manager at the start of the tenancy. Please feel free to contact them at any time to discuss any questions or problems you may have as we are always here to help.

    If your property is managed by the landlord, we will provide you with their contact details and you should contact them directly for any maintenance issues. For any questions regarding tenancy agreements, break clauses, payments or renewals, please contact our Management Department and they will provide you with all the necessary contact numbers upon moving in.

    Sue, Our lettings MD has always considered herself a bit of a special agent. After leaving the RAF she worked for a top secret agency (can't tell you which one... it's a secret!) and now prefers to be known as "M" . Sue's really easy to find, never a good thing when you're supposed to be undercover, but fortunately for us (as well as national security) she soon realised that her talents lie elsewhere.

    Amanda Sweeney
    Mandy joined a team of 4 Lettings staff 11 years ago and has watched the team grow to 24 in that time. She now manages the Admin, Maintenance and Finance teams in our Head Office. She is partial to a little bit of Zumba, and will be one of the first on the dance floor at our Xmas Party. She loves eating out, especially Thai food and likes to relax watching TV, (Gogglebox and Strictly are her faves) with a nice G&T , and bag of Doritos if she is feeling really naughty.

    Caroline Schaefer
    Work hard - Play hard, is a concept that Caroline embraces with gusto. It's impossible to not get on with Caroline, and her role as new business manager for our lettings department sees her building long term relationships with existing, experienced, and first time landlords. When we asked Caroline to list her favourite hobbies she said she had two. Gin and Tonic. Luckily for us, mixing business with pleasure is something she excels at, and her knowledge, professionalism and enthusiasm never fail to shine through. Hugely supportive to her colleagues, and loved by landlords, Caroline is a real team player. Diplomatic, driven and fun to be around, she's definitley a glass half full kind of person.

    Carol Bowman
    I am known as the Golden Oldie and known from way back when, with over 25 years' experience in the lettings business in Swindon I am a Guru! Even though I work part time now, I take huge pride in what I do and enjoy working with a happy motivated team. In my own time I love going on holiday and taking short breaks, I also think I am a bit of a dab hand in the garden- Green Fingers! (Not actually Green!)

    Sharon joined the Lettings Team in January 2014 and has now worked in the property industry for over 10 years. She brought a wealth of admin experience with her and spends her day making sure that all our landlords are paid their rent on time. Her dress sense matches her colourful character and she could easily be described as loud!!! Sharon is always cheerful and helpful and is partial to the odd glass of vino (bottle)!!!!

    Nicky Bint
    You wouldn't know it to look at her, but there's nothing that Nicky likes more than getting into a long drawn out scandal. Very good at handling dramas, a night on the sofa with a box set is how Nicky likes to relax. A budding actress in her youth and still a little dramatic at times Nicky worked for a vet before making a move to lettings. Organised, efficient, and a brilliant networker, her portfolio of happy landlords just keeps on growing.

    Sophia joined the Lettings Team in early 2017 as a Lettings Coordinator and is responsible for registering applicants, booking viewings, negotiating offers, and of course charming both landlords and tenants in the process! Not to mention she is an absolute whizz on the computer, taking multitasking to a whole new level! In her spare time she enjoys spending time with family and is a massive fan of anything film and music!

    Lisa doesn't like to watch anything on television that makes her emotional, then she goes on to list what she does watch: Britain's Got Talent, The Voice, X Factor. Can anyone watch those without super blubbing at groups of grannies singing 'Somewhere Over the Rainbow'; puppies jumping through hoops of fire; and wide eyed warbling youngsters 'nailing it' every time but knowing that they might be consigned to pop oblivion (poplivion) any second? We'd be knee deep in soggy tissues and runny mascara about 5 minutes in. Perhaps she means she doesn't like watching Jeremy Kyle as that just makes her want to hurl a brick at the screen.

    Having worked in our Sales Team for three and a half years, Sarah is now loving the move over to our Residential Lettings department. Sarah is enjoying the buzz of the lettings market being so buoyant and is doing well to keep up with the seriously quick pace! You may also know Sarah as Tiny Taylor due to her petite sizing but she makes up for it with her big personality. She also loves travelling and visiting interesting places around the world and learning their different cultures.

    Natasha is a team player and very driven, she has a wealth of experience having previously worked in agencies in London but has settled well to her role in Swindon. Unfortunately, receiving parking tickets, along with her terrible parking has followed her! When not working you can either find her watching some rugby, playing lacrosse or drinking gin preferably in the garden on a hot sunny day. When we asked her friends how they would describe her the results were interesting...Flirty, Funny, Ditsy (always falling over) but ultimately loyal which we would agree with too!
