    Scott Castle work with TMD - The Maintenance Department in Poole are now contracted by Scott Castle for out of office hours. All emergency will be assessed before attendance. 

    Please note that should an emergency call out not be deemed an emergency when they attend the tenant would be liable for the £110+VAT per hour call out charge. Please ensure that the service is used strictly for emergencies only.

    An emergency call out is not to repair or replace but to make safe until the issue can be dealt with during office hours.

    Information that we collect from you

    Scott Ford Management LTD (trading as Scott Castle) collects personal data from our clients, tenants, contractors and other organisations in line with the Letting Agency Business. The information you provide will include your name, address, phone numbers and email address and may also include your bank account details and any other information about you through communication such as e-mails, letters or other information you provide during the term of business with Scott Castle. When applying for a property we have a few ways we collect the information initially. This can be done via an online application form via an encrypted service tracked via email address or a manual hand-written form. This data is then transferred into our database which is held on our computer system or within our office in paper format.

    Who is collecting the data.

    Our staff within our office have been briefed and trained in GDPR and how to record the data securely via our encrypted server and programme. Staff are responsible to record a justified reason onto the relevant data record when sharing with outside organisations. An example of this is when a contractor is tasked to attend a property then a works order is created outlining their responsibility. Each works order created to contractors has a GDPR expectation written. Below is a copy of this information -

    Scott Ford Management LTD are compliant by using a secure database for all data held.

    This data information has been used with permission of the above parties and must not be passed onto a 3rd party without consent of the party. Consent must be in a written format via letter or email.

    A tenant or client of Scott Ford Management Ltd agrees to allow their data to be passed to a 3rd party whilst the property is managed or a tenant of Scott Ford Management LTD for business purposes only.

    Anything outside business purpose is not permitted without additional written consent.

    Following the completion of the works order, please ensure the data of the tenant / client is removed within a reasonable amount of time to prevent any unauthorised use of the data. By accepting this works order you are following the guidance set out above.

    How we hold your data and for how long.

    When becoming a tenant or client of Scott Ford Management LTD (trading as Scott Castle) the information we collect is held in a secure internal database protected by a number of firewalls and password protected logins. The data can be accessed remotely via an encrypted server by only managers and directors of the company to enable us to provide a 24/7 coverage of the properties managed by Scott Castle. Scott Castle also hold documents and files in a paper format within our secure office. Our office is protected by an alarm system, double security door, front office shutter and also CCTV which is monitored remotely 24/7. During office hours the public cannot access any data in our office as they are prevented by secure coded front and back doors. When visiting our office, a full CCTV tracks the movement of any visitors and staff.

    The data is used throughout the term of any tenancy and is used to set up tenancies, send letters, rent demands, statements, arranging repairs and inspections in order to provide you with a service. When becoming a client or tenant with Scott Castle it is agreed that the data can be used for business purposes only. The data is used by the company to communicate with outside services such as energy supplies, contractors and councils. Data is held for 7 years after the end of any tenancy. Once a tenancy has passed this date then the data is destroyed. Any prospective tenant applicant who fails referencing will be held on our system for 12 months before being destroyed. Scott Castle do not hold a database of prospective tenants who are looking for properties. Instead we market the property at our shop front window, Rightmove.co.uk and other online portals where the interested party can contact us via email or phone. Scott Castle do not advertise directly on our website but instead use a direct link to Rightmove.co.uk. Enquiry details are kept for a year before being destroyed. Scott Castle record initial enquires, maintenance requests and messages via google where initial information is held such as names, phone numbers and email address are taken. staff. The information is the destroyed within 1 year. Scott Castle emails and diary system are powered by Google which is password protected and encrypted. Our diary system holds information for 3 years before being auto removed and deleted whilst our email system holds emails for emails throughout the tenancy in the same practice as the above information. Online forms can be sent through our website directly to our staff. The content is then passed the relevant staff member to respond and deal with.

    Your information

    Scott Castle communicates with outside companies to perform a number of tasks during your tenancy. This includes references, credit checks, deposit insurance, energy providers, local authorities, property owners, estate agents and contractors. The information will be used to perform their functions and not for any other purpose. Our expectations of Outside companies are to use the information and to destroy the data within their GDPR rules and regulations. Once the data has been sent across, Scott Castle are no longer responsible for the protection of the data as the transfer of data protection has moved. When applying for references we use a secure online encrypted service. This protects your data being edited unlawfully and is fully tracked and audited.

    When conducting a credit check we use your personal data for the purpose of assessing your credit score where this is a condition of us entering into a tenancy with Scott Castle.

    As a client or tenant of Scott Castle your consent is given for us to share or distribute any of the information you provide us for strictly business purposes and the information given must be proportionate and rationale. A recorded reason is held on our system for data audit and records.

    Your Rights

    You have the right to access information held about you and the right to request that information be deleted or corrected (as appropriate). You also have the right to request that your information be transferred to another organisation. You can exercise these rights at any time by emailing ruth@scottcastle.uk

    Scott Castle offer a full management giving you piece of mind. We are one office based in Bournemouth who can be a single point of contact. Below is the details of our full management service and our charges.

    • Market the property via online portals to find potential tenant/s and carrying out viewings.
    • Professional High Quality Photos and Video Tours giving prospective clients to walk round the property before they even view.
    • Referencing potential tenant/s via our own in house reference system. This service includes Right to Rent, Credit Checks and Guarantor Checks where required.
    • Preparation of Legal Documentation for Tenancies. For example - tenancy agreements and deposit insurance. Deposit insurance via our secure account with MyDeposits
    • Preparation of property inventory. Video based showing you the condition of the property with commentary.
    • Electrical Safety, Gas Safety, PAT Testing. Smoke and Heat Detection Checks Before Move In (Chargeable Service Listed Below)
    • Check In and Check Out of Tenants into the property Signing and checking in tenant/s
    • Notifying all services of new tenancy details. Opening and Closing Accounts

    Once the Tenant Has Move In

    • Collecting rents and accounting to Landlord monthly/4 weekly and providing Clients with Monthly Statements of Income and Expenditure.
    • Providing contractors for all maintenance issues.
    • Provide gas engineers for gas inspections (applicable) charges vary depending on engineer used.
    • Provide Electricians for Electrical inspections (applicable) charges vary depending on engineer used.
    • Performing In House PAT Testing to Portable Appliances and providing a Certificate. (Chargeable Service with Details Listed Below)
    • Out of Hours Emergency Service 24/7 to Tenants and Landlords giving peace of mind to clients and tenants.

    What Do We Charge:-

    • Up to 12½ % commission (variable) plus VAT on the achieved rental PCM / 4 Weekly Figure - Contact Scott Castle for a quote. Example - £550PCM (Rent Achieved) x 12.5% plus 20% VAT = £82.50
    • Maintenance / Repairs are subject to a 10% including VAT charge
    • Arrange gas inspections where applicable (charges vary depending on engineer used) - Quote can be obtained before completion.
    • Arrange EICR inspections where applicable (charges vary depending on engineer used) - Quote can be obtained before completion.
    • Arrange Energy Performance Certificate (EPC) where applicable. New EPC £72.00 including VAT and reprinted EPC when required £18.00 including VAT
    • Insuring Deposit in My Deposits Scheme at a cost of £31.80 including VAT per property and new tenancy agreement
    • Tenancy Preparation Fee - £30.00 including VAT per property. This service includes producing and providing :-

    - Tenancy Agreement - One per tenant
    - Deposit Protection Certificate - One per tenant
    - Deposit Protection Information for Tenants Leaflet - One per tenant

    • Tenancy Preparation - This service includes producing and providing:-

    1. Tenancy Agreement - One per tenant
    2. Deposit Protection Insurance and Certificate - One per tenant - (If the client would like to insure the deposit themselves then we would be required to have a copy of the insurance certificate before move in to ensure it is signed and the tenant and owner and the correct prescribed information is served to go alongside this)
    3. Deposit Protection Information for Tenants Leaflet - One per tenant
    4. Energy Performance Certificate - One per tenant - Reprint - (If a new EPC is required and would like Scott Castle to arranged an engineer to attend then an additional charge of £72.00 including VAT is due)
    5. Gas Safety Certificate (where applicable) - One per tenant - In relation to the Gas Safety we would need a copy of this to serve to the tenant to form part of the complete move in process of the tenant. The tenant upon moving in would sign a document confirming they have received all the tenancy paperwork as per the rules and regulations.
    6. How to Rent - The Checklist for renting in England - One per tenant
    7. Tenant Check In - This requires by law the smoke detectors to be tested with the tenants present to witness and check the overall property.

    Agent Charge For Completing Find A Tenant Service.


    • Bedsit / Room - £150.00 inc VAT
    • Studio flat - £175.00 inc VAT
    • 1 bedroom - £225.00 inc VAT
    • 2 bedroom property priced up to £724PCM - £275.00 inc VAT
    • 2 bedroom property priced over
    • £725PCM - £300.00 including VAT
      3 bedroom - £350.00 including VAT
    • 4 bedroom - £400.00 including VAT

      Additional Charges:-

    • When a New Tenancy agreement is required/requested a charge of £50.00 including VAT is due. This fee includes Producing and signing a tenancy agreement for each tenant and checking smoke detectors to ensure they are working before the tenancy agreement is signed and the tenants move in.
    • New EPC AT £72.00 including VAT (If Required)
    • Deposit Insurance is £31.80 including VAT

    Tenancy Charges

    Scott Castle charge a one off agent fee for the property and not per person for the complete service from reserving to moving in. To reserve the property, the applicant is required to pay the administration fee in full in order to begin the reference procedure. Once the fee has been paid, no other applicant will be processed for this property. The agent fee covers all reference checks, guarantor checks and necessary paperwork in order to move into the property. The admin fee is displayed at the bottom of each advert.

    Agent Fee Charges 

    Scott Castle charge a one off agent fee for the property and not per person for the complete service from viewing to moving in.

    To reserve the property, the applicant is required to pay the agent fee in full in order to begin the reference procedure.

    The fees are inclusive of VAT and are as follows for each type of property:- 

    • Bedsit / Room - £75.00 
    • Studio flat - £100.00 
    • 1 bedroomed - £150.00 
    • 2 bedroom property priced up and including £724PCM - £200.00 
    • 2 bedroomed property priced over and including £725PCM - £250.00 
    • 3 bedroomed - £275.00 
    • 4 bedroomed - £300.00 
    • Commercial Property - £150.00

    These fees are taken at the reservation of the property and will be returned to the tenant should the applicant fail the reference procedure and the agent / landlord do not agree to proceed with the let. If the applicant decides not to go ahead with the property they will lose their agent fee.

    The method we use for calculating the weekly price is: (monthly price x 12) / 52, rounded to the nearest pound.

      I have lived in a 3/4 bedroom property in Pokesdown for the last 3 years, let through Scott Castle. I have rented for over 15 years in Bournemouth and have to say that for me Scott Castle are the best Agents I have dealt with to date. I have had a few issues at the property to do with maintenance ie Hot water issues, windows leaking... and every time I have contacted them, I received a response within 30 minutes and a tradesman has been booked. I had to hand in my notice this week, as circumstances have changed for me and I now need a larger home. The new home I am moving too had to be let within 2 weeks so I was unable to give a full months notice. I went to the office this morning really worried about having to tell them, yet Rob could not have been more helpful.
