    What arrangements Should I make before the tenancy ?

    Gas Safety Certificate

    Before any tenant can move in, you legally must have a valid annual Gas Safety Certificate. We can arrange this on your behalf if required (*Additional fee applies) Gas Safety Certificates must be renewed annually,

    Consents to Let

    If your property is subject to a mortgage, you may need to obtain consent from your mortgage provider and possibly abide by certain terms and conditions. If your property is leasehold, you may need to obtain permission from the freeholder or managing agent of the building.

    Inventory, Check In & Check Out

    We can arrange a professional independent inventory on your behalf. This lists the contents of your property, fixtures and fittings and the condition of the property. It is an accurate recording of the property upon hand over for the tenant. At the end of the tenancy, we will arrange the check out to record the final condition.

    A professional inventory is a necessity in the event of a claim against the tenants deposit and would be relied upon for negotiation and adjudication.

    Professional Cleaning

    Prior to occupation, we would recommend your property is professionally cleaned with a cleaning invoice retained. When the property is returned, your tenant is expected to do the same and must provide a receipt for cleaning. This ensures high standards for the next tenancy and avoids grey areas when it comes to deposit returns

    Smoke & Carbon Monoxide Alarms

    By law, smoke detectors should be installed on each floor of the property and tested at the start of tenancy . You are also required to have a carbon monoxide detector in any room that has solid fuel heating and it is recommended to have one fitted by any gas appliances or flues.

    Manuals

    A copy of manuals or guides for your property would be of huge value for your tenants. If the property is to be managed by us, a copy of warranties for appliances would be advisable.

    Tenancy Agreement

    After the references have been approved, we will draw up an Assured Shorthold Tenancy Agreement. You will be provided with a copy in advance of your move so you can read through the clauses to ensure you understand your obligations. You will need to initial each page, sign the document and have your signature witnessed. You can either arrange to sign in our office or post the signed copy back to us in advance of the tenancy start.

    Your tenant will sign another copy of the agreement, both documents will then be dated and exchanged over. You will be sent a copy of the tenant's signed agreement after tenancy start.

    Our Letting Services:

    Fully Managed

    This is our fully extensive package ranging from finding you a tenant to looking after your property and tenant throughout the whole tenancy. You will receive piece of mind that your investment is being looked after. All of our property management is handled within our team and is not sub-contracted out to a faceless company. Our dedicated property management team handle everything from the collection of rent, regular maintenance, liaising with contractors, arranging quotes for your approval, safety compliances, emergency support, detailing with insurance claims, property inspections and recommendations. All of our contractors are fully insured, tried and tested.

    Rent Collection

    If you are looking to manage the property yourself we can offer a Rent Collection Service. In addition to letting the property, Hilton King & Locke will collect rent from your tenant and provide you with a monthly statement. Rent is collected by standing order with payments transferred to you by BACs within 3 days of collection. In the rare situation that your tenant becomes late with payments, we will chase your tenant for rent and keep you fully informed. This is also the preferred option of service for our Landlord who prefer to pay fee monthly rather than upfront at the commencement for tenancy.

    Let Only

    If you just require help in finding a tenant, this is the service for you. Hilton King & Locke will fully undertake all the marketing of your property including photos, floorplans, particulars and advertising in our offices, websites and property portals. We will carry out accompanied viewings and negotiate any offers. Once an offer has been agreed, we will full reference the tenant, draw up the tenancy agreement, collect initial funds and deposit and register the deposit. You will handle the let once the tenant has successfully moved in.

    Finding the Right Property

    Register your interest with Hilton King & Locke by contacting one of our three local offices across Buckinghamshire & get to know the team at your local branch. We will be happy to discuss in detail your property requirements and see what we have available for you. Once we have a full understanding of exactly what type of property you are looking for one of our dedicated team will ensure that you are kept fully up to date with new properties that come to the market in your desired location and that fit your criteria.

    Viewing a Property

    When you have decided which properties you would like to view then our extremely dedicated and friendly team are available to arrange those for you at your earliest convenience. Our offices are open Monday - Friday 9am - 6pm on Saturdays 9am - 4pm and our Farnham Common office is open 10am - 2pm on a Sunday.

    We will accompany you throughout your viewings and although we are as flexible as possible to arrange the viewings to suit yourself, our diaries do tend to get booked up very quickly, especially at weekends. Therefore please try and contact us prior to your preferred viewing date and time to avoid any disappointment.

    Please feel free to ask as many questions as you like regarding the property, if we cannot answer them immediately then we will endeavour to find out the answers upon our return to the office.

    After the viewing has taken place it is beneficial for both yourself and the Landlord of the property in question if you supply us with your feedback. This will help in gaining a better understanding of your wants and needs enabling us to find you the perfect property.

    Making an Offer

    Once you have now found a property that you would like to rent. The next step is to make an offer to the Landlord via Hilton King & Locke.

    Think about your offer carefully and take into account a number of different things such as your budget, any competition from other interested parties and what would happen if your offer was rejected.

    To put your offer in the best light, we need as much information from you as possible, such as:

    - Your situation

    - How many people will be renting including children

    -Your occupation/s and approximate income

    - Term of tenancy you would like, do you need a break clause

    - When you like to move into the property

    - Please advise if you have any pets as this can affect the Landlord's decision, some may have a no pet policy

    -Rental figure

    -Whether you require a guarantor and financial information for your guarantor

    We will then negotiate with the Landlord to put your offer forward.

    Holding Deposit

    Once your offer has been accepted you will be asked to pay a holding deposit of between £350 and £500 as a way of commitment to your application to rent whilst we carry out references and draw up the necessary agreements. The property will be taken off the market for further viewings, subject to references. Upon successful application, the holding deposit is deducted from your balance when you move in.

    You will be provided with a breakdown of the balance, this will need to be paid and cleared in our account prior to your tenancy start date.

    Should you change your mind and withdraw your application to rent, you would lose your holding deposit.

    References

    You will be sent a link to complete the reference process. We use a company called 'Letsure' they will carry out a credit checks and employment and Landlord references if necessary. It would be worthwhile to alert your employer to respond to our reference request as soon as possible in order to speed up the process.

    If you are self-employed you must have accounts or proof of income for at least one full year. Proof of income can be taken from chartered accountant or HMRC Self-Assessment statement.

    In addition to the reference checks, you will be asked to provide the agent with proof of Identification (passport copy) and proof of current address (utility bill/ bank statement) This is to comply with money laundering regulations and 'Right to rent'

    Tenancy Agreement

In 2006 after moving home to Buckinghamshire, Caroline continued her career in Residential Lettings working in Beaconsfield & Penn and completed her ARLA accreditation. An Open House is not perhaps what the phrase suggests, potential buyers are still given individual viewing times but are grouped together, one after another, usually 10 - 14 days after marketing commences. The benefits of the Open House are that since viewings are perhaps all on one Saturday afternoon, it is more convenient for the seller, but also the event creates a real buzz around the property and more quality interest which in leads to receiving offers at the best possible price.

      Regular Progress Reports

      One of our key objectives is to ensure that at all times our vendors receive the best possible service and advice from us. In order to ensure that this is maintained we guarantee to provide you with a full progress report on a weekly basis. At this point we will discuss the marketing to date and any suggested amendments to our future approach. Our computer system also provides a print out of information on how many particulars have been sent out and viewing appointments have taken place including feedback to date and can be forwarded to you at any time during the marketing.

      Feedback on all Viewings

      We guarantee to provide feedback on all viewing appointments the day after the appointment takes place as long as we are able to contact the buyer in question. At this point we will report any comments including feedback to date, this will be relayed to you whether it is positive or negative, as we feel that all feedback is constructive.

      Qualified Offer Negotiation

      All offers received by us will of course be communicated to you at the earliest convenience.       Step One

      Obtain an Accurate Valuation

      When selling your property it is vital to obtain an accurate valuation. It is not advisable to just instruct the agent that gives you the highest valuation as you need to trust your agent to interpret the appetite and direction of the local property market to present an accurate valuation that will ensure your property sells for the best possible price within a timescale that suits you.

      Our Valuations are carried out by the Directors or Branch Managers of Hilton King & Locke who together have over 50 years' of experience in estate agency. We carry out a vast amount of valuations every month which gives us a very intimate and unparalleled wealth of knowledge regarding the property values within your area.

      Step Two

      Choosing the Right Estate Agent

      When deciding on the right estate agent to sell your home there are a number of things to take into consideration, such as their local knowledge, being able to proactively and effectively market your property and having a reputation for outstanding and exceptional customer service. I am happy to announce that Hilton King & Locke can offer all three of these attributes and have been selling properties across Buckinghamshire for over 15 years. Hilton King & Locke can also arrange the legally required Energy Performance Certificate (EPC) for you that needs to be commissioned prior to the marketing of your property.

      Step Three

      Instructing a Solicitor

      The successful purchase of a property can be reliant on the instruction of an efficient and experienced solicitor. They will examine the legal documentation for the property and raise a number of enquires in order to approve the contract of the sale.

      Once you have accepted an offer we will create a memorandum of sale for all parties involved. This is an exchange of details between the solicitors who will then contact each other to start the conveyancing process. The solicitor along with ourselves will be on hand throughout the transaction to advise and guide you through the process.

      As we know this is of course can be a stressful time ensuring that the legalities of the process are carried out efficiently and as quickly as possible therefore we can of course offer you a number of recommended solicitors that we use on a regular basis.

      Step Four

      Viewings

      Once interest has been generated on the property, appointments for quality prospective purchasers to inspect the property will be arranged at your convenience. We accompany all prospective buyers around your property. Alternatively, we are able to hold a key and show buyers around your property for you. We can confirm that our keys are held securely in a coded system, and that a member of staff at Hilton King & Locke would always accompany any prospective purchaser to tour your home. It is also important to remember that first impressions count when potential buyers view your property.

      Step Five

      Offers & Negotiation

      When an offer is received we will notify you at the earliest convenience along with the information you require to make an informed decision such as, the buyer's position to proceed, financial situation and timescales given. If there is more than one interested party then we will keep you up to date with any competing offers. You don't have to accept the highest bidder as there are many other aspects to consider depending on the current situation. Hilton King & Locke will of course be on hand throughout the process to offer guidance and expertise to ensure that the most suitable purchaser is found for your property and we undertake to negotiate the best possible sale price that we can.

      Step 6

      Offer Agreed

      Congratulations! Now that a sale has been agreed, your buyers will need to instruct their chosen solicitor and mortgage broker to proceed. We will also require your solicitor's details so that we can prepare a memorandum of sale and instruct the solicitors acting on behalf of both parties.

      Your solicitor will send out a draft contract to the buyers solicitor who will then carry out preliminary enquiries. At this stage a survey will be arranged on your property on behalf of the buyers and potentially proposed dates for exchange of contracts and a final completion date.

      We will liaise with the solicitors and estate agents involved in the chain throughout the process and maintain our regular contact with you keeping you updated of all developments. We will ensure the sale progresses through to completion as smoothly as possible.

      There are no legal obligation until contracts have exchanged.

      Step 7

      Exchange of Contracts

      Exchange of contracts take place when both solicitors are satisfied that everything is in order and all enquiries have been confirmed and agreed. The contract will be signed by both parties and this is when the buyer will be asked to hand over a deposit (the normal requirement is 10% of the purchase price), this will need to be telegraphically transferred or paid in the form of a banker's draft. A completion date will also be agreed and from this point all parties will be legally obligated to go through with the transaction.

      Step 8

      Completion and Moving In

      We will release the keys to your buyers once we have had confirmation from your solicitor that the remainder of the funds have been received. The day of completion is when you physically move out of your property along with all of your furniture and possessions. The remaining monies (usually 90%) are transferred from your buyers solicitors to the your solicitors account.

      Viewing a Property

      When you have decided which properties you would like to view then our extremely dedicated and friendly team are available to arrange those for you at your earliest convenience. Our offices are open Monday to Friday - 9am to 6pm, Saturdays - 9am to 4pm and our Farnham Common office is open 10am to 2pm on a Sunday, and can arrange viewings on any of the properties we market across our offices.

      Making an Offer

      Congratulations! You have now found a property that you would like to buy. The next step is to make an offer to the sellers via your estate agent with the aim of getting an offer agreed.

      Think about your offer carefully and take into account a number of different things such as your budget, any competition from other interested parties and what would happen if your offer was rejected.

      Upon making an offer you will need to demonstrate to the agent that you are able to proceed, for example provide evidence of your mortgage agreed in principal, your mortgage broker's details and proof of funds for deposit. We will then put you offer forward to the seller both verbally and in writing & inform you of their response forthwith.

      If your offer is accepted you will need to instruct your chosen solicitor and mortgage broker to proceed and we will then prepare a memorandum of sale and instruct the solicitors acting on behalf of both parties.

      Conveyancing

      As part of the whole conveyancing process your solicitor will do the following things:

      Request local searches

      Raise any enquires that they have in the initial draft contract

      Raise any enquiries already provided in the sellers' information Pack

      Agree a date for an exchange of contracts with a set completion date

      Survey and Mortgage Offer

      If you are obtaining a mortgage on the property you are purchasing then a survey will be booked by a surveyor on behalf of the mortgage lender that will identify any problems with the property as well as advising on the property value.

      After the mortgage valuation report is received then a formal mortgage offer will be sent to both you and your solicitor which you will need to sign before it is returned.

      If you are not getting a mortgage then we are happy to recommend a number of surveyors that can carry out a private survey for you.
