    All you need to know
    Gas Safety Certificate : Along with an EPC, a current gas safety certificate is a legal requirement when letting a property. The certificate lasts for 12 months, so it is advisable to get one done shortly before the tenancy commences. We can organise this to be carried out by an approved contractor. The certificate relates to any gas boiler or appliance in the property. Also required by law are smoke alarms on every floor of the property and carbon monoxide detectors where necessary.  We can arrange all this on your behalf. 

    Energy Performance Certificate (EPC): To comply with current legislation, an energy performance certificate (EPC) is required before selling or letting your home. We can arrange an independent company to provide this for you. 

    Photo ID: We will need photo identification to comply with current money laundering regulations, as well as proof of address via an up to date utility bill or bank statement.

    We prepare a full detailed description of your home including high quality photography with emphasis on its positive features.

    DATABASE OF TENANTS


    The first port of call is to contact all registered prospective tenants that are looking for a property like yours. We have an up to date database of applicants looking for properties of all sizes and prices.

    ACCOMPANIED VIEWINGS

    We always strive to find out as much information about a potential tenant, even before they view your property. A fully trained member of staff will then accompany and show prospective tenants your home, We will then contact you to go through the feedback and report and advise you of any potential tenants.

    ONGOING COMMUNICATIONS

    We ensure regular contact, feedback and advice on the marketing of your property.

    Application process

    Once you are happy with a tenant, they pay an application fee of £150 which holds the property.  This secures the property for a new tenant and agrees the let subject to referencing. At this point we will give them the referencing forms, and will clarify what date they will be looking to move in.

    REFERENCING

    We use an external company to undertake our referencing. A full reference includes a credit check, use of an affordability calculator to confirm the tenant's income is sufficient, an employer's reference and a previous landlord's reference. This process is usually turned around swiftly and once we have confirmation, we can confirm a move in date.

    Inventory 

    Shortly before the new tenant moves in, an inventory will be carried out and a schedule of condition known as a 'check in'. This protects both landlord and tenant when is comes to disputes over deposit. A thorough inspection of the property followed by a report will leave no doubt as to the condition the property is taken in. This is also relevant for furnished lets, as an inventory will be taken of any furniture / appliances that are in the property and can be verified upon the 'check out'.

    MOVE IN

    On the day the tenants move in, we will write to the utility companies and council tax office to advise them on the change of occupier and also with full meter readings. You will also receive the first month's rent less any deductions.

    Tenant Find only service

    In this case, we will find you a tenant, then fully reference them and organise the move in before handing the management of the property back to you. This allows you to use our extensive marketing to advertise the property and helps you find the best tenant! This option usually suits hands on landlords that may already have tradesman of choice and want to manage their own property portfolio.

    The fee for this service is variable but is usually between half and three quarters of the first months rent.  ALL FEES ARE SUBJECT TO THE USUAL VAT OF 20%.

    FULL MANAGEMENT

    We also offer a full management service which is the most popular and common selection. In this instance, not only do we carry out all of the actions above, but once the new occupiers have moved in, we will be deal with any problems or issues that may arise, be their only point of contact and organise any trades going in to repair any problems that may develop.

    The fee for this service is variable please ask for more details. 


    CONTRACTORS

    We have an extensive list of approved contractors from plumbers to electricians and gardeners to handymen. If a problem was to arise with your property and we are alerted by the tenants, a tradesman will be sent to evaluate the problem or quote for the work. We gain your approval and authority to proceed and the contractors invoice will be deducted from the next rent payment.

    INSPECTIONS

    Our dedicated Lettings team  will carry out quarterly inspections of the property. You will then be sent a report detailing the inspection and any issues that are of note. It is unusual for there to be any problems and the inspection benefits both landlord and tenant.

    MONIES HELD

    ALL MONIES HELD ARE DONE SO UNDER THE TERMS OF THE PROPERTY REDRESS SCHEME AS SET OUT BY THE PROPERTY OMBUDSMAN OF WHICH WE ARE REGISTERED WITH.

    ALL MONIES ARE HELD UNDER THE CLIENT MONEY PROTECTION SCHEME APPROVED BY NAEA and ARLA are PLACED WITH THE DEPOSIT PROTECTION SERVICE.

    We love getting people moved into their new home. Whether staying in a property for 6 months or 6 years, it is still your home for that period of time. If there is a problem at the property we want to know about it, so we can rectify it as soon as possible.

    We ensure that we have a good working relationship with our tenants. We have a dedicated lettings team based at Belper branch that will help you with any questions or issue you may have, all of our staff are approachable and amenable.


    PROSPECTIVE TENANTS

    If you are looking for a property to rent, then make sure you give us a call with your criteria so we can let you know of any new properties. We will need some information from you as well, including your employment status, how many people would be living in the property, let us know if you have any pets or if you are in receipt of any housing benefit. Also, when you need to move by? Do you need to give notice to you current landlord?

    VIEWINGS

    One of our staff will be happy to show you any property we currently have available. We often accommodate evening and weekend viewings as we appreciate it's not always easy to view properties around a busy work schedule. Our staff will be able to answer any questions that you may have on a viewing and advise you on the local area also.

    If you view a suitable property with us, and the landlord is agreeable with your position and timescale, we would require a application  fee of £150 per adult in order to secure the property and reference is undertaken. 


    REFERENCING


    At the point we receive your fee, you will be given referencing forms to complete. We will need references from your employer and current landlord (if applicable) and will also carry out financial checks including a credit check. Once the referencing is complete, we confirm your acceptance and moving in details

    Upon receipt of your referencing we require either a valid passport or a driving licence accompanied by a copy of a birth certificate. These are required for the right to rent process. 

    MOVE IN & FUNDS REQUIRED


    You will be required to pay one months rent in advance plus £100 pounds deposit and a further months rent up front. These monies  will be required in cleared funds prior to your move day. 

    You will be required to come into the Belper office on the day the tenancy begins. Here you will go through the assured short hold tenancy with one of our staff, sign your contract, complete standing order mandate, take a copy of the schedule of condition and take your keys! You will have 7 days to return your schedule of condition with any discrepancies annotated on your copy.

    If we are managing the property, then feel free to contact us any time with any issues that may arise. If the landlord is managing the property, their contact details will be given to you along with your copies of the contract & schedule of condition.

    MONIES HELD

    ALL MONIES HELD ARE DONE SO UNDER THE TERMS OF THE PROPERTY REDRESS SCHEME AS SET OUT BY THE PROPERTY OMBUDSMAN AS WELL AS NAEA  BOTH OF WHICH WE ARE REGISTERED/MEMBERS OF.
