    Independent Property Services have a long standing enviable reputation in residential lettings and have been established in Chelmsford since 1994.  We are proud to be Licensed ARLA agents ( Association of Residential Letting Agents) and consider ourselves one of the most experienced and successful independent residential letting agents in Chelmsford. Unlike most letting agents with the exception of referencing, which we insist is carried out by a professional referencing company, the remainder of our services offered are carried out in house, to include inventory, periodic visits, energy performance certificates, check in & check outs, viewings, etc. We believe this gives us a greater intimate knowledge of each of our Landlords properties.     Inventories
    We produce our own paper inventory that details every room within the property and gardens if applicable. On check in we meet the new Tenant(s) at the property and go through the inventory room by room also taking meter readings and listing the keys released to the tenant. At time of check in we insist that the Tenant(s) sign and agree the inventory prior to us leaving the property therefore reducing the likelihood of any disputes at the end of the Tenancy.

    Full Management

    Marketing your property

    • Carry out the Energy Performance Certificate (EPC) if required
    • Introduce a prospective Tenant Instruct a recognized referencing agency to carry out reference and/or credit checks
    • Prepare the Assured Short hold Tenancy Agreement
    • Prepare the inventory
    • Collect the first months rent and deposit
    • Registry the deposit with the Tenancy Deposit Scheme
    • Check the tenant in and agree the inventory
    • Take meter readings Advise the Utility companies and Council Tax office of the Tenant's details
    • Collect the monthly rent
    • Be the Tenant's first point of contact during the tenancy and deal with any issues
    • Transfer the rent less any fees or expenses electronically to the Landlord's nominated bank account
    • Send you a monthly statement and invoice
    • Conduct a quarterly internal inspection of the property
    • Approximately two months before the Agreement expires contact the Landlord and the Tenant to ascertain whether the parties wish to renew or if notice is to be given
    • If a renewal is to go ahead, we shall Prepare the new Tenancy Agreement or if not deal with notice requirements
    • Check the Tenant out
    • Advise all utility companies on final meter readings
    • Remarket the property
    • All the above is based on a monthly 15% fee only  (NO UPFRONT COST)

    When applicants wish to apply for a Tenancy, they have to pass a referencing procedure. We use Homelet a professional referencing agency to carry out checks which include - electoral roll, credit history, employment reference, accountants reference if self employed and previous landlord reference if applicable. We will not proceed with a tenancy unless the applicants have been approved. Unlike some agencies we don't rely on verbal or written information given by applicants.

    PROSPECTIVE TENANTS FEES

    HOLDING DEPOSIT A refundable holding deposit to reserve the property, capped at one weeks rent (Condition's as per Tenants Fee Ban Act 2019)

    COMPANY APPLICATIONS A non-returnable fee of £250.00 + VAT is payable in respect of company applications.

    DEPOSIT We require 5 weeks rent to be held as a deposit. This is returnable at the end of the tenancy provided the terms of the Tenancy Agreement have been complied with.

    CHANGES TO TENANCY During the tenancy, should a tenant request a change (for example change of name, tenant, etc) then this will be charged at £50 (inc VAT) per change.

    TENANT REFERENCE REQUEST Should a tenant require IPS to provide a landlord's reference, then this will be charged at £50 + VAT per tenant.

    EARLY RELEASE FEE Should a tenant request to terminate their tenancy (outside of the allowed tenancy period) and with the landlord's agreement then IPS will charge £150 + VAT per property.
    REFERENCES We use a professional referencing agency. Each applicant, including any guarantor or company will be required to complete a reference/application form.The reference and application will not proceed until pay ment of the reference and administration fee has been received.A series of enquiries will be made about each applicant by the referencing agency and these will include confirmation of status from the following: Current Landlord,employers, bank/building society, Accountant if self employed, electoral roll, credit reference database including county court judgments, tenant's database. If you have any doubts about the result of any reference enquiry being satisfactory, we advise you to disclose this at the application stage.
    DEPOSIT We require 5 weeks rent to be held as a deposit.This is returnable at the end of the tenancy provided the terms of the Tenancy Agreement have been complied with.
    INITIAL PAYMENT The reference and administration fee must be paid prior to referencing forms being submitted.The first months rent, and the deposit must be received by IPS in full in cleared funds before we can check you into the property. If you pay by cheque, this must be received seven working days before the commencement of the tenancy.
    FUTURE PAYMENTS OF RENT All rental payments are required monthly in advance of the due date.A bank standing order form will be provided for payments by this method. Please ensure that your bank details are completed correctly and that the form is signed and returned to IPS. Unless otherwise stated, all payments are to be made payable to IPS.
    INSURANCE The landlord is responsible for the insurance of the buildings and any contents they own.We recommened that you have your own contents insurance for your belongings. IPS can provide you with information about tenants contents insurance under which various levels of cover are available, including the landlord's items against accidental damage by the tenant. Please ask for details.
    INVENTORY A detailed inventory, which will also include a Note of Condition as applicable, will be prepared for your signature at the time the tenancy commences.This will be agreed with you when you are checked into the property and checked again when you vacate it.This is important in connection with regard to the return of your deposit.The landlord will also sign an identical copy of this document.
    KEYS One set of keys to the main entrance door will be provided for each adult tenant.You are not permitted to cut new keys or change locks to the property without the permission of IPS or the Landlord. Please advise us immediately if the keys are lost or you believe that some unauthorized person has come into possession of them. Alll Keys must be surrendered when you leave the property.
    UTILITIES Meter readings will be taken when we check you into or out of a property. IPS will write to the local authority in respect of Council Tax, the relevant water authorities and gas and electricity suppliers.Tenants must not change any utility supplier without informing IPS. We will need the full contact details for the new supplier and your customer reference number.
    DAMAGES Accidents and repairs, damage to the property or repairs required, must be reported immediately to IPS who will take the appropriate action.We endeavor to undertake repairs quickly with the least inconvenience to you as possible. Please understand the difficulties that we sometimes experience with contractors particularly certain times of the year, for example holiday time or during adverse weather conditions.
    PROPERTY VISITS If the property is to be under the management of IPS, we will visit subject to prior arrangement with you approximately every three months and report back to the landlord.
    GENERALFurther information may be provided to you during your tenancy. IPS wishes you to be happy in theproperty and will make every effort to make your period of tenancy enjoyable.We would ask you to cooperate withus to ensure that you, the landlord and IPS benefit from a cooperative relationship

    Martin has lived in Essex all of his life, with Chelmsford having been his home town for more than 20 years. He started his Estate Agency career in 1986 working for an Independent multi office company and progressed to managing their Chelmsford office. In 1996 he moved to a corporate agent again working from their Chelmsford office until 1999 when an opportunity arose to join Independent Property Services.Being the landlord of a small portfolio of properties himself and having had the experience of buying and selling property for refurbishment, Martin appreciates all the more the challenges that landlords, sellers and buyers sometimes face.Best known for his sympathetic, unassuming and professional approach. Martin still gets a great deal of satisfaction helping people move, even after 25 years in the business.During his spare time Martin enjoys the outdoors especially gardening, he is also a keen cyclist and has a particular interest in aviation and gained his private pilots licence in 1989 followed by a commercial licence in 1998!

    David started his Estate Agency career in 1980 when he joined a highly respected Independent firm of estate agents in Braintree as an office junior. David then progressed to sales manager and met and worked with Martin Bird for a number of years until 1994 when he joined a large corporate agent and ran two very successful sales offices. In 1999 he joined Independent Property Services where he teamed up again with Martin and has been successfully running the lettings department since 2004.David has a reputation for being a very diligent, considerate and conscientious worker and prides himself on giving a very high standard of service which has been demonstrated over the last 30 years in the business.David resides in the village of Silver End with his wife Nicky and two teenage children, Leanne who is at university studying teaching and son Carl at Colchester Sixth Form College.During his spare time David managers his sons rugby team and enjoys gardening and surprisingly decorating.

    James started his Estate Agency career when he joined Independent Property Services in 2000 as a trainee negotiator and rapidly progressed to a senior negotiator. Since then James has gained a wealth of experience in residential lettings property management and residential sales.James specializes in the residential lettings arm of the company and deals with all aspects associated with lettings.       Sales negotiation is perhaps the most critical aspect of an Estate Agents responsibility, if conducted well a sale will be agreed at a figure in-excess of the seller's minimum price, if mishandled the opportunity could be lost or the seller may feel pressured into accepting a disappointingly low offer.
