    Letting Service Options

    Being a landlord brings many rewards, responsibilities and risk. Selecting the right letting service for you and your property is all about finding the right balance of all three factors. Our Guaranteed Rent service best suits those looking for the financial stability of a fixed income with no involvement while at the other end of the spectrum the Tenant Find service is perfect for a landlord who is comfortable with taking on a much greater level of responsibility.

    In total we offer four letting services options:

    Fully Managed Landlord Service

    The Fully Managed Service is suitable for landlords who have limited time to manage their property. We look after every aspect of the tenancy just as we would with the Guaranteed Rent service but the key difference is that we do not provide guaranteed rental payments.

    How it works

    We charge a set up fee for finding the tenant, assisting you with property preparations, interviewing tenants, drawing up the necessary agreements and preparing the inventory. We then charge a monthly commission for managing all tenant enquiries, undertaking regular maintenance service and rent collection. At the end of the tenancy we will also help with check out.

    Fees :

    We charge a monthly commission of 12% inclusive of VAT for the ongoing management of your property.

    When you first instruct us on this schemes you will have to pay a Set Up Fee. This fee covers all the cost of advertising, finding a tenant, compiling the inventory and drawing up agreements etc. The Set Up Fee is £480 inclusive of VAT payable each time you instruct us to find a new tenant for your property.

    Rent Collection Landlord Service

    The Rent Collection service suits a landlord who has the time and energy to deal with tenants and their requests but would like support with some of the financial and administrative duties.

    How it works

    We charge a set up for finding the tenant, assisting you with property preparations, interviewing tenants, drawing up the necessary agreements and preparing the inventory.

    Since the landlord is responsible for the upkeep of the property, the monthly commission is lower than Fully Managed Service. Northwood take responsibility for rent collection and payment to the landlord.

    Fees :

    We charge a monthly commission of 6% inclusive of VAT for the ongoing management of your property.

    When you first instruct us on this schemes you will have to pay a Set Up Fee. This fee covers all the cost of advertising, finding a tenant, compiling the inventory and drawing up agreements etc. The Set Up Fee is £480 inclusive of VAT payable each time you instruct us to find a new tenant for your property.

    Tenant Find Service

    Some landlords prefer to be completely hands-on. They are willing to take on the full responsibility of running the tenancy and simply want help finding a suitable tenant.

    How it works

    We advertise the property, accompany prospective tenants on viewings and source the correct references. We charge a set up for finding the tenant, assisting you with property preparations, interviewing tenants, drawing up the necessary agreements and preparing the inventory. The fee for this service depends entirely on the type of property being let.

    Fees :

    If you simply want us to find a tenant for your property, we will charge you a one off fee of £480.00 inclusive of VAT. This fee covers all the cost of advertising, finding a tenant, compiling the inventory and drawing up agreements etc.

    Guaranteed Rent Service

    Our Guaranteed Rent Service offers landlords the benefit of a guaranteed fixed income on their property, regardless of whether or not it is let or the tenant stops paying. It's the perfect 'let and forget' solution for busy landlords.

    How it works

    If you are renting your property to us on the Guaranteed Rent Service, we will not charge you any fees at all. After conducting a market appraisal on your property and assuming it meets our criteria we would make you an offer as your tenant of a fixed monthly guaranteed rent for a minimum period of one year. Please note that we are not able to guarantee rent on all properties and would only make you an offer after an appraisal of your property.

    Northwood takes the responsibility for finding a suitable tenant and collecting the rent monthly. The landlord is accountable for liaising with the tenants and managing the maintenance of the property.

    Fully Managed

    With a fully managed property Northwood takes full ownership for managing the tenancy right through from check-in to check-out.

    Guaranteed Rent

    The guaranteed rent service is the perfect 'let and forget' solution for busy landlords who are looking to minimise both the risk and the hassle of letting out a property. Northwood take full responsibility for managing the tenancy but also provide a financial guarantee that no matter whether the property is empty or the tenant stops paying, the rent will still be paid each and every month.

    STEP 4 - Presenting your property

    When it comes to letting out a property successfully, first impressions really do count. If you want quality tenants who will look after your property, you need to present it in a clean, tidy and well maintained state. Undertaking just a few, free or low cost jobs really can make a difference.

    Consider completing any outstanding DIY jobs and declutter spaces as much as possible. A fresh coat of paint can make a real difference to a property.

    At Northwood we can give you expert advice on how to present your property in the best possible light, using the best quality photography and creation of quality property details.

    STEP 5 - Completing the paperwork

    Initial paperwork includes notifying your mortgage lender, having appropriate landlord insurance and ensuring all tax-related affairs are in order.

    A variety of legal certificates need to be obtained such as an Energy Performance Certificate (EPC), a Gas Safety Certificate (GSC) and PAT tests to name a few* Your Northwood team can advise you on the legal requirements relevant to letting out your property.

    It is important to get a comprehensive and professional inventory completed. This provides a thorough record of the condition of the property and its contents - something that is key for subsequent inspections and at check out. We can help organise this for you depending on the level of service selected.

    STEP 6 - Marketing your property

    In order to find the best tenant for your property you want the widest possible exposure to the best quality tenants.

    By using Northwood you not only tap into a database of thousands of potential tenants but you also benefit from comprehensive marketing packages including: listing on the major property websites such as Rightmove / Zoopla, exposure on our own Northwooduk.com website, appear in our prominant office windows, accompanied viewings and email alerts out to tenants that fit the appropriate search criteria.

    STEP 7 - Selecting the right tenants

    Once the final rental price has been agreed prospective tenants should always be thoroughly referenced, credit checked and confirmation obtained that they have the right to rent in the UK.

    A tenancy agreement is then drawn up - the agreement itself needs to be fully compliant with all current regulations based on which part of the country the property is located in. It is at this stage that the security deposit and the first rental payment is taken.

    It is a legal requirement that the deposit is registered with one of the Government approved deposit schemes once the tenant has moved in.

    STEP 8 - Moving tenants in

    It is important to ensure that all paperwork is completed before checking the tenant into the property and handing over the keys. A handbook of information such as rubbish and recycling days, where meters and stopcocks are located, appliance instruction manuals etc. can avoid a number of queries and questions that will otherwise arise. The inventory that has already been prepared needs to be signed by the tenant and the council, water, gas and electricity suppliers must all be informed that the tenant has moved in.

    STEP 9 - Managing the tenancy

    Both you and your tenant have responsibilities that you must adhere throughout the duration of the tenancy

    Your tenant is obliged to

    · Pay the agreed rent on time each month

    · Pay the council tax

    · Pay the utility bills and TV licence unless otherwise stated

    · Use the property as a home and not for commercial purposes

    · Take good care of the property and it's fixtures and fittings

    · Carry out basic maintenance

    · Keep the property secure at all times

    · Advise the landlord / letting agent of any repairs needed as soon as it arises

    Your responsibilities will vary depending on the letting service option that you choose. At a basic level the tenant can expect you or your letting agent to:

    · Allow the tenant to live in the property undisturbed. If access is required 24 hours' notice must be given

    · Maintain the property in a good state of repair

    · Ensure all gas, electricity and water supplies are installed and in working order

    · Provide all operating instructions for appliances and equipment

    · Insure the property and contents, fixtures and fittings belonging to you

    · Charge a fair market rate

    Routine inspections are a great way of ensuring that all is well with both the property and the tenancy. Northwood can arrange to have inspections carried out on your behalf depending on the level of service you have with us.

    STEP 10 - Moving the tenants out

    At the end of the tenancy the landlord or letting agency should go to the property to formally take possession. The rent should be paid up to date, all keys handed back and an assessment made of the cleanliness and state of the property.

    All the paperwork must be completed, a forwarding address for the tenant obtained and the utility companies informed of the changes.

    Assuming all is well with the state of the property and its contents, taking into account Fair Wear and Tear and the tenants deposit should be returned.

Guide to Letting and Tenant Fees

    Make sure you budget for all move in costs
    When you decide to rent a home, you need to budget not just for the monthly rent and household bills, but also the initial costs. Your agent will normally ask you to pay a deposit and an administration charge in addition to the first months' rent. A full breakdown of our fees can be found further down this page.

    Administration Fees

    When you find a property that you like, we will ask you to pay a reservation as follows in order to process your application.

    Administration charge single person £240 inclusive of VAT
    Administration charge couple £360 inclusive of VAT

    This payment may not be refunded to you if you decide not to progress with the tenancy application*, depending on the time that has passed between you submitting your application and withdrawal. It will be returned to you in the event the landlord is unable to proceed.

    When the tenancy starts, you will be asked to pay the balance of the deposit and first months rent in advance and the relevant check in fee. The value of the deposit may vary depending on your personal circumstances, but will be equal to at least one and one halves month's rent.

    This payment must be in cleared funds via bank transfer to enable the tenancy to commence.

    * Should you not proceed with the tenancy we reserve the right to retain your administration fee to meet any reasonable costs or loss of rent whilst the property was withdrawn from the market. This may apply whether you withdraw from the tenancy or are unable to proceed due to adverse references.

    + A deposit is a sum of money taken to be held as security for the performance of the agreement and can be used against any costs or damages at the end of your tenancy as detailed in your agreement.

    Guarantor

    If you are a student, are unemployed or on a low income, you will need a guarantor. We will need to carry out reference checks on the guarantor and charge a fee of £120 inclusive of VAT for this and the administrative work we do.

    The guarantor will be asked to read your tenancy agreement and sign a guarantor agreement before the tenancy starts.

    * This is a non-refundable payment.

    Check in fees

    To cover the part contribution towards the costs of the inventory the following fees will be payable prior to moving into the property :

    1 bed £60 inclusive of VAT
    2 bed £72 inclusive of VAT
    3 bed £84 inclusive of VAT
    4 bed £96 inclusive of VAT
    5 bed £108 inclusive of VAT

    Deposit

    A deposit is a sum of money taken to be held as security for the performance of the agreement and can be used against any costs or damages at the end of your tenancy as detailed in your agreement. The deposit may vary depending upon your circumstances but normally a deposit of 1.5 months rent will be required and if you have permission to have a pet at the property then a further £100 will be required.

    Late payment of rent
    We reserve the right to charge a fee of £30 inclusive of VAT for chasing any rents that are received more than three days late from the due date.

    Early release from tenancy
    If you want to leave the property before the end of the tenancy, the landlord may agree to this, but may ask you to continue to pay the rent and all household bills until the date a new tenant moves in or your tenancy comes to a natural end, whichever is the sooner. You may also be asked to pay £480 inclusive of VAT as reasonable costs in re-letting the property.

    Mortgage/landlord reference
    We are normally pleased to provide a reference for the above purpose. To cover our costs in administration we charge a fee of £30 inclusive of VAT for this service.

    Arrangement Fee
    If we need to arrange for any work at the end of the tenancy because of damage to the property caused by you, we will charge you an arrangement fee of 10% of the cost of the work. This is subject to a minimum charge of £30 inclusive of VAT.

    Check out

    We do not charge a fee for the Check Out appointment.

    If we are unable to complete the agreed Check Out appointment due to unreasonable delays by you on the day of the appointment, you may also be charged £30 inclusive of VAT to cover our reasonable costs. Please also note that rent is payable until the day you move out of the property and surrender the keys.

    Renewal of tenancy
    Tenancies are normally renewed every six months. Each time you decide to renew the tenancy for a further fixed term, a charge of £30 inclusive of VAT will be made. This amount is payable in advance, and must be received prior to a new contract being signed.

    STEP 1 - Setting your budget

    Before you start looking for the right property, first consider what your priorities are - location, number of bedrooms, size of lounge etc and match them against your available budget. We will go through an affordability calculator with you and you need to be earning at least 2.5 times the annual rent as your gross annual income,

    STEP 2 - Book an appointment to view

    Once you have found a property that you are interested in get in touch with the office to arrange a suitable time for you to view the property.

    Our staff are fully trained in helping you find the perfect home so the more information you can give them to explain exactly what you are looking for and what is on your wish list will assist them in helping you to find 'home'.

    STEP 3 - Make the decision

    If you would like to rent a property that you have seen you should then notify the agent quickly that you would like to rent it out. From a finance perspective make sure that you consider how much the deposit is and any agent fees that may apply. In parts of the UK, the agent must advertise their fees on their website & be able to provide you with a breakdown if you ask.

    STEP 4 - Completing the paperwork

    At this stage you will normally be asked to pay an administration fee, holding deposit or something similar. The referencing process then begins and as a minimum will include:

    References from your current landlord and employer

    Credit checks

    Providing identification of who you are

    In some circumstances you may be asked to provide a guarantor. The same reference checks are then carried out for your guarantor as were done for you.

    We will then inform you if your application has been successful.

    STEP 5 - Signing the tenancy agreement

    A tenancy agreement is then drawn up which details all of the legal and contractual obligations that both you and your landlord must adhere to. It is important that you are familiar with the agreement before you sign it so make sure that you ask for a draft agreement when your application is accepted.

    The security deposit and the first rental payment is then taken. It is a legal requirement that the tenancy deposit is registered with a Government approved deposit scheme after it has been paid.

    Before you can move in you must pay the balance of any monies owed such as the first months' rent, the deposit and any outstanding fees.

    STEP 6 - Moving In

    Before you move in Northwood will have had an inventory prepared. This document describes the condition of the property and anything left behind by the landlord. The inventory is used when you leave the property to ensure that the condition that you leave it in can be fairly assessed against any deposit deductions that may come up.

    Insurance - your landlord is responsible for insuring the building and their possessions but you may want to take out your own contents insurance. You can get specialist Tenant Insurance from Northwood Insurance Services.

    STEP 7 - During the tenancy

    Both you and your landlord have responsibilities while you are living in the property

    As the tenant you are expected to:

    · Pay the rent on time

    · Pay the council tax

    · Pay all the utility bills and the TV licence unless otherwise agreed

    · Do general household and garden maintenance

    · Dispose of all rubbish

    · Clean the windows

    · Carry out basic maintenance* such as replacing light bulbs

    · Keep the property secure at all times

    · Advise of any repairs or maintenance needed as soon as it arises

    · Ventilate property

    · Not create unnecessary noise for neighbours

    * We have produced a maintenance guide containing the details of who is responsible for some of the common maintenance issues that may arise during a tenancy.

    In return you should be able to expect to:

    · Live in the property undisturbed.

    · Be given 24 hours' notice if access to the property is required

    · Have the landlord maintain the property to a good state of repair (unless you are responsible for the damage)

    · Have all gas, electricity and water supplies in working order

    · Have access to all operating instructions for any appliances and equipment

    · Be charged a fair market rate

    STEP 8 - Ending the tenancy and deposit

    The period of notice that both you and your landlord must provide will be set out in your tenancy agreement.

    You should tell us as soon as you have decided to move out and we will advise on the next step

    At the end of the tenancy we will arrange a check-out appointment. You will need to:

    · Have paid all of the rent due

    · Make sure all of your belongings have been removed from the property

    · Hand back all keys

    · Make sure that the property is clean (to a professional standard) and that all contents are left intact

    · Take a note of the meter readings

    · Redirect mail & cancel all media services

    · Cancel your standing order (we can't do this for you)

    · Furniture must be left in the same place as stated on the inventory

    · Replace light bulbs that are not working

    · Ensure the garden has been tended to and left in the same condition as stated on your inventory and move in photographs

    · Put the rubbish bins out.

    At the checkout, the property and its contents will be assessed and compared to the initial inventory and subsequent inspection reports. The results will be reported back to both the landlord and you. The expectation is that the property is left in the same condition in which it was let to you - allowing for Fair wear and tear.

    Within 10 working days of the tenancy ending, any deductions from the tenancy deposit should be agreed. The formalities of how and when the deposit is returned will depend on the provider that protects the deposit. You can refer to the Tenant guide to tenancy deposit protection for more information.

      Your conveyancer will send the buyer's conveyancer a draft contract, setting out the particulars of the sale, such as the agreed selling price. At this stage, it is helpful for you to provide your conveyancer with any necessary documents to support the contract, such as what fixtures and fittings (if any) you are including in the sale and any guarantees or certificates for works you have had done to the property. The buyer's conveyancer will raise enquiries about the contract and documents, which you and your conveyancer will need to provide truthful answers to.


      We will liaise with you, the solicitors and your buyer throughout the process, keeping you up to date on:

      • The buyer's mortgage application and offer.
      • The survey date and its outcome.
      • Status of the legal process.
      • The rest of the chain where applicable.

      Exchange of contracts

      Once the buyer's mortgage offer is received, the buyer's conveyancer is satisfied with the responses to the enquiries raised and a date for completion is agreed by all parties, we can look to exchange contracts.


      The contract must be signed by both buyer and seller and the buyer must pay a non-refundable deposit via their conveyancer to your conveyancer. The deposit is usually 10% of the purchase price.
