    Our Service Levels

    Finding a Tenant

    This is an entry-level service for Landlords wishing to undertake full day-to-day administration and management of the tenancy process, and who need us to find just the right kind of tenant for their property.

    Collection of Rent

    An intermediate level service for Landlords wishing to undertake full day-to-day administration and management of the Tenancy but who may need us to collect and distribute the rental monies.

    Full Management (Gold & Platinum)

    Our comprehensive management service is specifically geared to Landlords who need worry-free letting of their property and who are happy for us to provide a property management specialist to oversee every aspect of each tenancy.

Our Lettings Service - Tenants

    Step to step guide for new tenants.

    Where to begin

    It's hard to know where to start when you are looking to rent a property for the first time, or even the second or third time. Below is our brief guide on the first steps to finding you a property to rent.

    The first step is to contact your local Richard James office who will register your details and discuss your search requirements. Try to have in mind some or all of the following.

    • Where do you want to live? (Have a look round at the areas that would suit you, or just come in for a chat and we can help)
    • What are your 'must haves' and 'would like to haves'? What's your budget? How long do you want to be renting? When do you need to move?

    We recommend beginning your search around 6-8 weeks prior to your ideal move date to ensure all the paperwork gets done properly.

    Step two:

    View a selection of properties from our extensive portfolio. One of our expert teams will show you the best properties available in line with your requirements.

    The Swindon property market moves very quickly. If you find the perfect property, one that suits the majority of your requirements, you may wish to place an offer on the same day - be prepared, it may be the first one you see!

    Step three:

    Once you've found the place you want to rent, you'll need to complete an offer form with your negotiator, ensuring all your requirements are clearly stated. A Tenants Information Form & Conditions of Application will be provided for you to read and sign. When this is signed, we will then need to take payment of a Holding deposit the equivalent to one weeks' rent of the total months' rent.

    Step four:

    When your offer is accepted, the referencing checks will be put into progress. A referencing company will liaise directly for the application forms to be completed. Our negotiators will contact you should we require any further information at this stage.

    Once the referencing stage is complete and satisfactory, we will confirm your offer and you will also be issued with a statement of account for your initial payment due on the day you move in.

    This will include:

    • Rent for the first month

    • Deposit - equivalent to five weeks rent

    Future payments for monthly rent are taken by standing-order in advance so please have your bank account details available to complete the form. Please note the signature must be an original as faxed copies are not accepted by the banks.

    Step five:

    Provided that all payments, documents and references are in order, your keys will be available for collection on the start date of the tenancy. Your negotiator will ensure that this is organised at a convenient time and we will meet you in our offices to go through the tenancy agreements and take your initial payments and to hand over your keys.

    We inform utility providers that you have moved into the property and ensure all accounts are transferred into your name (with the exception of telephone and broadband).

    A copy of the inventory check-in report will be given to you on the day of move-in, you will have 7 days to make any amendments. Now relax and have a cup of tea.

    Step six:

    If your property is managed by us, you will be advised of the name and contact details of your property manager at the start of the tenancy. Please feel free to contact them at any time to discuss any questions or problems you may have as we are always here to help.

    If your property is managed by the landlord, we will provide you with their contact details and you should contact them directly for any maintenance issues. For any questions regarding tenancy agreements, break clauses, payments or renewals, please contact our Management Department and they will provide you with all the necessary contact numbers upon moving in.

    Work hard - Play hard, is a concept that Caroline embraces with gusto. It's impossible to not get on with Caroline, and her role as new business manager for our lettings department sees her building long term relationships with existing, experienced, and first time landlords. When we asked Caroline to list her favourite hobbies she said she had two. Gin and Tonic. Luckily for us, mixing business with pleasure is something she excels at, and her knowledge, professionalism and enthusiasm never fail to shine through. Hugely supportive to her colleagues, and loved by landlords, Caroline is a real team player. Diplomatic, driven and fun to be around, she's definitley a glass half full kind of person.

    Rebecca Barrett - Lettings Director
    Becky is quite simply a Lettings legend! Without her, there would be no Richard James lettings department. Single-handedly setting up our lettings business back in 2007, Becky has played a huge role in building our portfolio and has a loyal fan base of happy landlords who recommend her time and time again. Driven and dynamic, she can always be relied upon to take our recruits under her wing and lead by example. When she's not working, you'll find Becky out walking her furry friend, Buddy. This fun-loving lady is our very own answer to Coco Chanel - Absolutely fabulous and a real class act.

    Nicky Bint - Manager - Property Management Team
    You wouldn't know it to look at her, but there's nothing that Nicky likes more than getting into a long drawn out scandal. Very good at handling dramas, a night on the sofa with a box set is how Nicky likes to relax. A budding actress in her youth and still a little dramatic at times Nicky worked for a vet before making a move to lettings. Organised, efficient, and a brilliant networker, her portfolio of happy landlords just keeps on growing.

    Ellis-Rose Wigley - Lettings Manager
    We didn't think it was possible for anyone to be permanently happy, until Ellis-Rose proved us wrong. Very wrong. There's never a dull moment, she's an absolute ray of sunshine and you'll never, and we mean ever, see her without a smile. A fountain of knowledge; Ellis-Rose has experienced all parts of the business, from admin, enquiries and maintenance, to becoming a senior member of our vibrant Old Town office. Not only is she hard-working and conscientious, she's truly the life and soul of any party. Dinner and drinks in Wood Street, Ladies Day at Ascot, a weekend in Ibiza... you name it, she's there. In a nutshell, if you haven't met the sweet, bubbly Ellis-Rose, you need to.

    Joanna Hill-Brown - Lettings Manager
    Introducing SN7's best agent EVER (well, in 2018 and 2019 anyway according to All Agents), as voted by the fine folk of Faringdon. Boom! With experience spanning multiple offices, across both sales and lettings, she's a true Richard James OG. Leaving behind the bright lights of Swindon, Jo has thrived out in the sticks - leveraging her naturally sunny disposition and desire to help. She feels right at home there too, especially since getting married and double barrelling her surname! When she isn't frequenting at Faringdon House or petting ponies in Pangbourne (all in an honest day's work), she'll be at home cuddling her Miniature Schnauzer, Beau, or visiting a soon-to-be 'hot' holiday destination. Jo's as real as they come, in fact, the only thing not authentic about her is her tan!

    Zoe is outgoing, eager and hard working, which is perfect for her role in the lettings team. In her spare time you can find Zoe hanging with her two cats Charlie and Kiki, watching crime documentaries, going to the zoo or seeking out the best places to eat. Zoe is a driven individual and believes that fate is real and everything that's for you will find you!

    Frankie Stocker - Senior Property Manager
    Frankie claims she always has to have a holiday booked, even if it's just a weekend trip. If she doesn't have one planned, she will constantly look for one until she does (especially if it's a bargain deal!) In her spare time, she loves walking her hyper dog (who still thinks he's a puppy 7 and a half years later!) or she'll be at the pub socialising with her friends.

    Millie Sharp - Property Manager
    Millie works in our lettings team as the first point of contact for tenants who have any queries about their property. She is easy-going, warm and positive, all essential traits for ensuring the move-in process is smooth for the Landlord and the Tenant. At the weekends, you'll usually find Millie in the pub with friends, out on a long walk or booking a holiday. She's also obsessed with animals and has been lucky enough to cuddle a penguin and feed lions & giraffes. Let us know when you're going on safari, Millie, because we're coming with you in your suitcase!

    Chloe Disbury - Lettings Finance Administrator
    Chloe works as part of our lettings team and is always helpful, happy and well organised! Born and raised in Swindon, this girl knows a thing or two about the local area but, when she's not at work you can find her at a favorite coffee shop, binging on crime documentaries or working out at the gym. Dont be fooled if she seems quiet at first, as once you get her talking she is difficult to stop!

    Michelle Brown - Team Leader - Property Inspectors
    Michelle joined the Richard James family in July 2020. She has a wealth of knowledge within Lettings, with 16 years of experience, and has worked in all departments. Miche (as usually known to her friends), loves to run in her spare time, completing many ultra marathons and also enjoys walking her dog. She likes to socialize with her friends and family with a cheeky glass of wine (or two!) Michelle is very happy and bubbly and likes to have a laugh, but has a wicked sense of humour!

    Sue's friendly nature, positive outlook, and determination to get the job done makes her a welcome addition to our team. When she's not in the office, she's usually in her hiking boots gallivanting across the UK, completing a walking challenge, or being kept busy by her lovely dogs. Her diploma in Nutritional Therapy means she's always ready to dish out tips to keep us feeling our best!

    Claire has been working in the property industry for over twenty years and loves nothing more than to help people kick off the next chapter of their lives in their new home. Her motto is to live life to the fullest, and she certainly took her own advice when she spent four years living in Australia. Claire is a bit of a gym junkie and enjoys getting in a workout in her spare time and spending time with family and friends.

    Kind, organized and positive; Gemma is a ray of sunshine in our Lettings Department. Her favourite part of the job is fulfilling tenants' hopes & dreams as they complete this landmark in their lives. When she's not in the offices, you can usually find her crafting something spectacular (probably for Christmas, no matter what time of year), in a cocktail bar after some retail therapy, or catching up on some unmissable reality TV.

     Callum Vernon - Property Manager
    We can always rely on Callum to keep the plants in the office watered, as he's got a veritable Botanical Garden of his own at home! Amongst all the greenery, Callum enjoys keeping insects along with his lovely cat - we hope they get along! He's as crafty and creative as he is good at managing properties. Funny, bold, and empathetic; Callum is just who you want taking care of your home.

    Courtney Heppell - Property Manager
    Courtney's loud, loving nature, combined with her dedicated focus, makes her a very welcome addition to our Lettings team. If you want any holiday ideas along with property advice, Courtney is the person to go to, as she's done her fair share of globetrotting, and even spent time living in New Zealand. Although now most of her trekking is done chasing after her little boy! If that wasn't enough, she might also throw in a few grooming tips, as on top of her seven years' experience in Property Management, she also spent seven years working as a Hair Stylist! Is there anything she can't do?

    Rosie Moore - Junior Lettings Coordinator
    Rosie's favourite thing about working in lettings is the supportive atmosphere of the office and she brings that energy to all her clients too! It's a good thing the office doesn't have a karaoke machine, as we might not be able to be as supportive of her song covers! When she's not in the office, you're likely to find Rosie with a nose in a good book, on the badminton court hitting it off with friends, or in a country pub with her family and a nice glass of red wine in hand.

    Ellie's lifelong love of interior design meant a career in the property industry was as natural fit as a well-placed kitchen nook. But Ellie didn't start out in property, she spent three years studying in Cardiff getting a law degree and is also no stranger to being behind the bar, pulling the perfect pint and serving illustrious customers - ask her about Stormzy's birthday sometime! Eager, tenacious, and endearing, Ellie will always make sure the client comes first. When she's not in work, she enjoys warm holidays, brunch with friends, and spending time with her lovely pets.
