    The following is a brief outline of our services and information on how to let a property:

    Step 1 - Finding a suitable property

    The first step is to find a suitable property; this can be done by accessing the Property Search pages, registering and arranging viewings. Alternatively you can phone or call into our office in Jesmond for full in-depth advice.

    Step 2 - Viewing a property

    Once a suitable property or properties have been identified an accompanied viewing can be arranged.

    Step 3 - Reserving the property

    Pay a holding deposit of 1 weeks rent.

    15 Day Deadline or 3 days prior to tenancy start date whichever is sooner
    (An extended deadline date, if required, can also be agreed by the landlord/agent/ tenant/s in writing and must be agreed by all parties.)

    The deadline for agreement is the date by which agent/landlord and tenant/s should enter into a tenancy agreement after payment of the holding deposit. The following should be completed by the deadline:

    1. Reference applications submitted for all tenants and guarantors if applicable
    2. ID for all tenants
    3. VISA if applicable for all tenants
    4. Tenancy agreements signed
    5. Guarantor deeds signed if applicable
    6. Outstanding balance paid.

    Please note that in order to pass the income criteria of the references, your monthly income needs to exceed 2.5 times the monthly rent and your employment period must be permanent or contracted beyond the end date of the tenancy. If you are using a guarantor, the guarantor's monthly income needs to exceed 3 times the monthly rent or have savings of 3 times the annual rent.

    You must inform us in writing of any county court judgements or any issues with income criteria before entering into this agreement.

    The holding deposit is refundable if the Landlord decides to pull out of the arrangement with the tenant or fails to enter a tenancy agreement before the agreed deadline.


    The holding deposit is retained if the tenant

    • provides false or misleading information which you can reasonably consider when deciding to let a property - this can include a tenant's behaviour in providing false or misleading information
    • fails a right to rent check
    • withdraws from a property (unless a landlord or agent imposed a requirement that breached the ban or acted in such a way to the tenant or relevant person that it would be unreasonable to expect a tenant to enter into a tenancy agreement with them)
    • fails to take all reasonable steps to enter into a tenancy agreement and the landlord or agent takes all reasonable steps to do so (unless a landlord or agent imposes a requirement that breaches the ban or acts in such a way to the tenant or relevant person that it would be unreasonable to expect a tenant to enter into a tenancy agreement with them).


    If the holding deposit is retained, then reasons will be provided in writing to the tenant within 7 days of the decision by the landlord not to enter into a tenancy agreement or the expiry of the deadline for agreement. Failure to do so will result in a refund of the holding deposit.

    Step 4 - Signing Contract and Balance Payment

    Once references have been passed, we will guide you through completing all of the relevant documents. Payment of first months rent and damage deposit.

    Referencing

    On behalf of the landlord, an independent referencing agency undertakes reference verification and credit checks on each applicant. We forward to the referencing agency completed referencing documentation which will require details of your employer, bank account, any former landlords, and a character reference.

    Damage Deposit

    A Damage Deposit, equal to 5 weeks rent is payable upon receipt of satisfactory references. The damage deposit is either paid directly to the Landlord, or to Bowson if we are managing the property and will be held within a Government Approved Tenancy Deposit Scheme until the tenancy ends.

    Guarantor

    In some cases professional applicants may require a suitable guarantor willing to accept and underwrite any rent and tenancy liabilities before the application can continue. Guarantors will need to meet the same reference and credit check requirements as the applicant.

    Identification

    Proof of identification will also be required. When you produce the required documents to our office, photocopies will be taken, and the originals returned to you before you leave. Do not send originals, they cannot be processed in your absence.

    Suitable identification documents are: A full and current Passport or a current valid Photo Driving License.

    Rent

    Payable in advance by Standing Order, unless alternative arrangements are agreed in advance

    Utility Bills

    Council Tax, Water Rates, Gas, Electricity, Telephone, Audio Visual network services and TV License costs remain the responsibility of, and must be paid by the tenant, directly to the relevant supplier unless alternative arrangements are agreed in advance.
