    Referencing process
    Prospective tenants or guarantors provide their information directly to the referencing company through their platform. Once they've submitted their details online, we'll start verifying their application and keep you informed through live updates in the platform.

    We assess tenants and guarantors across four areas.

    • Identification
    • Credit Checks
    • Income and affordability
    • Residential history
     At the end of the referencing process,a report will be uploaded for you to access on the referencing platform letting you know the references have been completed. The possible outcomes are Pass, Conditional Pass or Fail.

    Terms and Conditions
    To secure a property and start the referencing process, you will be required to pay a one weeks holding fee.

    Should you/your party fail your referencing for reasons including but not limited to; bad credit/undeclared CCJS, insufficient income, no residence status, poor landlord checks, unacceptable outcome or you withdraw your application this holding fee will unfortunately be forfeited. Please note that landlords can also reject having a Guarantor attached to the property if a guarantor was not part of the initial accepted offer.

    References and safety checks on the property can sometimes take longer than expected, Griffin will always aim to get you moved into a property as soon as possible but this does not always run to schedule. Your moved in date is never confirmed until you have a signed contract through Griffin. Therefore, Griffin strongly advise tenants do not make any plans i.e., removals, before a move in date is confirmed directly with Griffin.

    To secure a property you would have paid one weeks holding fee, this will be held for a period of 15 days. You have 15 days to successfully complete the referencing procedure. If successful, we will allocate the holding fee (1 week's rent) to your first month's rent upon move in.

    Tenant Fees Act 2019;
    Tenant Fees Act 2019 permits certain fees/ charges to made under the following circumstances:

    Holding Deposit (per tenancy)
    One week's rent. This is to reserve a property. Please Note: This will be withheld if any relevant person (including any guarantor(s)) withdraw from the tenancy, fail a Right-to-Rent check, provide materially significant false or misleading information, or fail to sign their tenancy agreement (and / or Deed of Guarantee) within 15 calendar days (or other Deadline for Agreement as mutually agreed in writing).

    Security Deposit
    (per tenancy. Rent under £50,000 per year)
    Five weeks' rent.
    This covers damages or defaults on the part of the tenant during the tenancy.

    Security Deposit
    (per tenancy. Rent of £50,000 or over per year)
    Six weeks' rent.
    This covers damages or defaults on the part of the tenant during the tenancy.

    Unpaid Rent
    Interest at 3% above the Bank of England Base Rate from Rent Due Date until paid in order to pursue non-payment of rent. Please Note: This will not be levied until the rent is more than 14 days in arrears.

    Lost Key(s) or other Security Device(s)
    Tenants are liable to the actual cost of replacing any lost key(s) or other security device(s). If the loss results in locks needing to be changed, the actual costs of a locksmith, new lock and replacement keys for the tenant, landlord any other persons requiring keys will be charged to the tenant. If extra costs are incurred there will be a charge of £15 per hour (inc. VAT) for the time taken replacing lost key(s) or other security device(s).

    During Tenancy
    Payments to other third parties: such as Council Tax, utilities or payments for communication services;

    Variation of Contract (Tenant's Request)
    £50 (inc. VAT) per agreed variation. To cover the costs associated with taking landlord's instructions as well as the preparation and execution of new legal documents.

    Change of Sharer (Tenant's Request)
    £50 (inc. VAT) per replacement tenant or any reasonable costs incurred if higher.
    To cover the costs associated with taking landlord's instructions, new tenant referencing and Right-to-Rent checks, deposit registration as well as the preparation and execution of new legal documents.

    Early Termination (Tenant's Request)
    Should the tenant wish to leave their contract early, they shall be liable to the landlord's costs in re-letting the property as well as all rent due under the tenancy until the start date of the replacement tenancy. These costs will be no more than the maximum amount of rent outstanding on the tenancy.

    A higher rate of rent maybe payable if the landlord agrees to have a pet in the property.

    Please note that photographic identification, proof of residency, are required before moving into any of the properties listed. Deposits are held in accordance with current legislation. If the rent is in excess of £50,000 per annum, the deposit required will be capped at SIX ( 6 ) weeks.
    Working tenants must be earning 30 x monthly rent per annum BEFORE any stoppages.
    Guarantors must be earning 36 x monthly rent per annum BEFORE any stoppages and must also be a UK homeowner. Immigration checks may be required to be undertaken by the Agent / Landlord on any or all occupants to comply with the Immigration Act 2014.
