How to use the Reviews Portal

The Reviews Portal (also known as the Developer Portal or Partner Portal) is your central hub for managing, understanding and responding to resident reviews.

It brings everything into one place, helping you monitor feedback, engage with residents, and track performance over time.

What is the Reviews Portal?

The Reviews Portal allows you to:

  • View all reviews for your developments
  • Respond to resident feedback
  • Track ratings and performance over time
  • Filter and analyse reviews to understand trends
  • Downloadable graphs to add into your own reporting

It’s designed to support you with day-to-day review management as well as provide longer-term insight into resident experience.

Getting started

1. Log in to your account

Access the portal here using your login details. If you don’t have access yet, your Account Manager or team admin at your development can set up a login for you.

2. Navigate the portal

Once logged in, you’ll typically see a dashboard with access to:

  • Reviews
  • Ratings and performance data
  • Filters and search tools
  • Profile

3. Where to find your reviews

Go to the ‘Reviews’ section to see all feedback linked to your developments. From here, you can:

  • View individual reviews in full
  • View unpublished data asked at review collection around the BTR experience
  • Filter by development, date, rating  
  • Sort by newest, highest or lowest ratings
  • Use keyword search function to spot key themes

Responding to reviews:

  1. Select the review you want to respond to
  2. Open the response panel
  3. Enter your reply
  4. Submit for review

Once approved, your response will be published alongside the review.

Best practice tips:

  • Respond to both positive and negative reviews
  • Keep responses personal and specific
  • Acknowledge feedback and outline any actions where relevant

4. Tracking performance and insights

The portal isn’t just for managing reviews, it also helps you understand performance over time.

What you can track:

  • Overall star ratings
  • Performance trends over time
  • Scores across different categories
  • Benchmarking against your portfolio or sector

Using insights to improve performance

You can use this data to:

  • Set internal KPIs for resident experience
  • Identify strengths and areas to improve
  • Report performance to internal stakeholders or investors

Using filters and segmentation

The portal allows you to break down feedback in more detail. You can filter reviews by:

  • Development
  • Date range
  • Rating
  • Demographics

This helps you:

  • Understand different resident groups

  • Focus on specific developments or issues

Downloadable assets

You can download data directly from the portal to support your reporting. You can download:

  • Review data
  • Charts and graphs

These can be used for:

  • Board-level reporting

The portal also helps you maximise the value of your reviews. You can:

  • Identify strong quotes for marketing use
  • Use insights to support your wider marketing and resident strategy

Top tips for getting the most from the portal

  • Check your reviews regularly to stay on top of feedback
  • Respond promptly – especially to negative reviews
  • Use filters to identify trends rather than reviewing feedback one-by-one

Review targets and best practice

We suggest a 10% Review Target as a minimum number of resident reviews that you should aim to collect at a development and/or brand level within a year.

For example, a development with 350 units should aim to collect 35 reviews within a year – about three per month on average.

This is what we consider ‘excellence’ to look like, as well as feeding into eligibility criteria for any award programmes we run to celebrate top performers in the industry.

We therefore encourage all partners to continuously engage with residents for ongoing feedback and to actively responding to reviews. 

Why is the 10% review benchmark important?

Transparency and trust

Whilst we would recommend 10% minimum, collecting a significant number of verified reviews allows you to understand a more expansive and genuine insight into your development.

It helps build trust and transparency with your residents’ and prospective tenants. It showcases the property’s willingness to be open about the resident’s experience and provides a realistic picture of what it’s like to live there.

How to achieve the 10% benchmark

Set a goal

Aim to collect 10% verified reviews based on the size of your development or brand portfolio and break it down to a monthly, manageable goal.

Request tailored support from your Account Manager

Engage your residents

Proactively asking for reviews

Try using a simple script aligned to your brand and ask for a review during a positive moment e.g. after resolving an issue or during a casual chat.

“Hi [Resident’s Name], great to see you! Just so you know, we’re collecting resident feedback at the moment. If you have a couple of minutes, we’d really appreciate a review about your experience living here – it really helps us improve and shows future residents what it’s like to live here.”

Confidence boosting tips

  • Start with familiar residents like those you already have a good rapport with
  • Keep it casual – it’s a friendly ask, not a sales pitch
  • Have materials ready – a small card with a QR code makes it easier and gives you something to hand over, which feels more natural
  • Practice once or twice – say it aloud to yourself or a teammate a few times to get comfortable

  • You’re not bothering them – you’re giving them a chance to share their voice
  • Most people appreciate being asked – especially if they’ve had a good experience
  • Treat it like inviting feedback, not pushing a review
